The Administration Officer will join a collegiate and supportive team which is responsible for operational administration across the breadth all aspects of the School’s operations. This specific opportunity will initially be assigned to the Portfolio of Head of Department and School administration support. This diverse and exciting position will work to provide exceptional support to the nominated Head of Department. Adopting a dynamic and flexible approach and using your high-level organisation and problem-solving skills, you will work in partnership each Head of Department, School Manager, Operations Manager and Department staff, to ensure smooth running of Departmental operations.

About the Role: This is an exciting opportunity for an experienced administrator with committee support and diary management experience. You will Provide general administrative support to School staff and Executive Assistant support to the nominated Heads of Department.

Responsibilities include:

  • Managing finances such as credit card reconciliations, purchase orders and invoices,
  • HR tasks including creating and maintaining casual contracts and honorary and visitor agreements
  • Assist with coordinating events, catering, room bookings and providing meeting room support
  • Diary management and the provision of secretarial support to departmental committees

Who We Are Looking For
A team player who is highly organised with excellent time management skills and the ability to develop and and maintain strong and effective relationships with internal and external staff. You will have a strong administrative background and excellent written communication skills, including the ability to prepare agendas, minutes and presentations.

You will also have:

  • Relevant experience in a an administrative or Executive Assistant role, and/or relevant education/training. 
  • Experience using the Microsoft Suite of applications and an ability to able to pick up new systems and processes quickly 
  • Excellent interpersonal skills, including a demonstrated ability to interact positively and work co-operatively in a multi-disciplinary team environment, liaising with people from diverse backgrounds.

This position requires the incumbent to hold a current and valid Working with Children Check to ensure the University provides a safe environment for everyone.
