Provides end-to-end general records management and document control services. Ensures project deliverables received from CNL contractors follow HWP policies, standards and procedures, for review and acceptance on CNL’s Contract and Risk Management (CRM) platform. In collaboration with project delivery teams coordinates and conducts document control activities for medium to large projects. Identifies and addresses anomalies in process and structure of deliverables. Performs regular audits and develops reports summarizing compliance to requirements, deviations from process and. conformance to standards.

What will you be doing !

Administration of Contractor Submittals

  • Acts as the single point of contact for records management and document control on assigned projects will be required to use HWP business systems including the Contract and Risk Management platform, Aveva.
  • Ensures project deliverables received for review and acceptance in Aveva/ or other system follow HWP policies, procedures, standards, and best practices
  • Manages the workflow for review and acceptance of contractor submittals in the contract and risk management (CRM) platform
  • Responsible for document control and records management practices
  • Configures and manages to closure all non-financial obligations based on project and stakeholder requirements
  • Develops and presents weekly reports to project delivery team and manager on status and progress of contractor deliverables, communication, issues and risks.
  • Provides reports on demand
  • Gathers and presents information on issues and risks related to contractor and CNL deliverables
  • Recommends solutions to address records and document control issues
  • Performs regular audits in Aveva on all projects
  • Develops reports summarizing compliance to requirements and any deviations.
  • To validate conformance to standards , procedures, guidelines and best practice
  • Ensures all submittals, records received via the contract risk management system are coded and recorded in the Content Server (Electronic Document and Records Management database – ATOM) in accordance with CNL standards.
  • Escalates issues and risks for prompt action
  • Provides document control support and collaborates with document owners, quality assurance leads, document authors and managers to ensure the quality of records received or developed by CNL are in accordance with Information Management standards.
  • Ensures quality issues related to contractor submittals are addressed promptly.

Process Improvements

  • Recommends improvements to records and document control processes, guidelines and workflow based on a thorough understanding of the right and best way to execute tasks on the Contact Risk Management platform.
  • Works with project staff to identify and manage exceptions to processes.
  • Develops and obtains approval for implementation of workflow changes for records and document control for contractor submittals and communication
  • Provides requirements for changes to HWP system used in management of contractor deliverables and communications

Coaching and Training

  • Provides input into and/or creates user documentation and training material for Aveva/ or other system
  • Provides training and coaching to project team, stakeholders and contractors on use of the contract and risk management platform
  • Provides coaching on records management and document control processes, procedures and workflow to staff as required.
  • Trains new document control administrators and support staff on use of the Electronic Document and Records Management System, ATOM.
  • Provides feedback on document control support staff for performance purposes
  • Promotes, encourages and supports project teams to embrace and utilize the contract and risk management platform/ other system(s) used for communication with the contractor.
  • Ensures an audit trail of major decisions can be established within Aveva
  • Tests existing and new Aveva functionality and its applicability to documents control processes and workflow, evaluating it for usability and providing feedback to manager.
  • Recommends enhancements to improve functionality of the CRM for HWP MO
  • Managers users on the Contract and Risk Management Platform/or other system (setup and maintenance)
  • Provides support and backup for other Information Management teams.
  • Performs other related duties as assigned by the manager

What we are looking for :

  • Post-secondary certificate, preference may be given to applicants with a records and information management certificate from a recognized college and/or having two (2) to three (3) years of progressive relevant experience in a project team environment. However, candidates with a minimum Grade 12 or equivalent in technical training and proven experience will be considered.
  • Knowledge and or training in records and information management including best practices and procedures
  • Document Control (DC) experience including performing quality checks, and ensuring information assets are handled in accordance with relevant processes, procedures, policies, and guideline
  • Experience working with large enterprise management systems Oracle, Aveva etc.
  • Experience working in a project environment and interfacing with cross functional teams.
  • Experience working with difficult stakeholders and ability to be assertive in handling issues,
  • Experience with Content Server is an asset or with other enterprise level information/records management systems.
  • General knowledge of databases, including ability to perform searches, validate inputs and archive documents.
  • Previous experience working with a contract management system is an asset.
  • Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom.

Working Conditions :

  • Visual concentration is required for monitoring, assessing and directing action on a large volume of communications received in Aveva for multiple projects
  • Good retentive memory to recall items reviewed and handled and issues discussed on a daily basis.
  • Sitting for extended periods of time.

CNL’s Historic Waste Program Management Office is in the beautiful and historic community of Port , Ontario . Roughly 100 km East of Toronto, still close enough to the “Big City” without all the hassle of being in the “Big City”. As a leader in environmental remediation at nuclear and radiologically contaminated sites, CNL is implementing the Port Initiative on behalf of Atomic Energy of Canada Limited. The cleanup of historic Low-Level Radioactive Waste by CNL in the communities of Port Hope and Port Granby in Ontario is a demonstration of Canada’s commitment to the safe, long-term storage and management of nuclear waste.
