The Program Coordinator, Summer Programs supports the planning and operations of the Babson Academy summer program portfolio, including pre-program planning beginning in January through program delivery in May through August.
WHAT YOU WILL DO
- Works with Babson Academy business development team to update the system for proposal tracking, seat management, etc. based on cohort sizes and composition.
- Works with campus partners to reserve appropriate space in residence halls as well as on campus classrooms for all cohorts; provide continuous updates throughout year.
- Works with BECC to reserve reception space at the conference center; provides continuous updates throughout the year.
- Works with campus dining on estimates for daily usage as well as special events and catering needs and securing one cards for Build participants.
- Works with faculty directors to finalize schedules/line up teaching team for all cohorts/sections as planning comes together.
- Coordinates with faculty to upload materials to Learning Management System (Canvas).
- Updates Pipeline tracking document as groups are contracted; updates with group sizes as information provided by Business Development.
- Conducts program orientations, including kick off events and presentation (PPT) to classrooms at start of each program; coordinates with Public Safety, Title IX, etc. to ensure required information is included in communications.
- Coordinates with College Marketing throughout summer regarding social media, group photos, testimonials, etc.
- Collaborates with primary Program Manager to develop program wrap up documents (demographics, PPT presentation) at end of summer; leverages summer workers to help with analysis.
- Collaborates with Associate Dean to complete comprehensive Babson Build summer financials spreadsheet as well as to interview, hire, and train summer workers; leverage summer student workers for data entry.
- Prepares program-related client invoices and faculty compensation.
- Communicates with Babson Academy clients and participants about program logistics, assignments, and pre-work.
- Coordinates program materials and assists client, participants, faculty members, and external speakers.
- In collaboration with Associate Dean, contracts with vendors which often include, but is not limited to, transportation, catering, AV equipment, program materials, conference rooms, class rooms, special dinners and functions.
- Assumes additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED
- Associate’s Degree or equivalent experience
- A minimum of 1-3 years of related experience.
- Must have strong customer-service orientation, organization, and planning skills
- Must demonstrate strong attention to detail and creative problem-solving skills
- Must have program management expertise and demonstrated business acumen
- Ability to handle challenging situations and individuals requiring creative problem solving.
- Ability to think and act strategically, making choices and decisions to ensure that program participants, clients and faculty receive the best experience while maintaining fiscal diligence and operational excellence.
- Must have strong technology skills including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook/Calendar).
- Must have excellent oral, written, and interpersonal communication skills and demonstrated ability to communicate in a cross-cultural environment.
- Must have strong organizational and project management skills with the ability to appropriately prioritize tasks and adjust to changing priorities.
- Team player with ability to take initiative and complete tasks with minimal supervision.
- Interest in international affairs and other cultures.
- Must have a positive attitude and the ability to be flexible in changing conditions.
- Ability to work with ethnically, culturally, and socially diverse students, staff, faculty, and other constituencies.

HOW AND WHERE YOU WILL WORK
- Must be able to occasionally attend programs, meetings, and events during evenings and/or weekends
- Length of temporary position is January 2024 through August 2024.
- 20 hours per week from January to April 2024. Increase to at least 35 hours per week for April through August 2024.
ADDITIONAL SKILLS YOU MAY HAVE
- Bachelor’s Degree preferred
- Prefer 3+ years of experience
- Competency in more than one language a plus
- Prefer experience working with diverse and global audiences or stakeholders
- Experience with Salesforce, Cvent and learning management systems a plus
