About this position:
The Barbados Country Office (CBA) within the Caribbean Department (CCB) of the Inter-American Development Bank (IDB) seeks to engage an Operations Support and Administrative Consultant to perform technical and administrative functions across all stages of the project cycle and in the preparation of other programs and products comprising the Bank’s work in Barbados.
What you’ll do:
The selected candidate will be required to carry out the following activities:
Operations Support Functions (70% of the time)
- Prepare correspondences for output for assigned projects using the Bank’s correspondence control system (SISCOR) and manage input correspondences.
- Participate in internal/external operations review meetings and prepare the necessary documentation for such meetings as required. Draft the minutes and notes of the operational meetings for distribution as required.
- Support the planning and preparation of missions as well as other events organized by the Bank for the training of project executing agencies, dissemination of information and knowledge sharing. This will require the identification of key participants, preparation of budget, development of draft agenda, site inspection, correspondence with key stakeholders and document production.
- Provide back-up support for processing transactions related to the C&D Resources managed by Chief of Operations.
Administrative Assistant Functions (30% of the time)
Records Management
- Implement and maintain the IDB’s Records and Information Program in relation to the Operations function; including file station, electronic and physical record management systems, library and archives.
- Review, file and verify the classification of official documentation related to the Operations function in accordance with the Bank’s file plan and policies and procedures.
Other
- Support Administrative area with Reception management and act as back-up to the Receptionist and Administrative Assistants, as required, including filing electronic and physical records related to Administration.
In carrying out the assignment, the consultant will:
- Use the available background project information to obtain details on implementing arrangements, proposed activities, targets and budget under each operation.
- Work under the guidance of the Operations Team and Project Team Leaders in processing transactions in the Bank’s operating and financial systems.
What you’ll need:
- Education: Bachelor’s Degree in Social Sciences or related discipline.
- Experience: At least two (2) years of relevant professional experience or equivalent in a similar position. Previous experience working in an International Organization in a similar capacity is an asset.
- Languages: Proficiency in English.
- Project management.
- Skills: Analytical and quantitative skills, ability to plan, organize and meet goals in a timely manner, ability to adapt to multiple demands and changing priorities.

Requirements:
- Citizenship: You are either a citizen of Barbados or a citizen of one of our 48-member countries with residency or legal permit to work in Barbados.
- Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
