ORGANIZATIONAL SUMMARY:
USF Testing Services is an auxiliary unit within Executive Services. It supports the university’s strategic efforts to ensure student success and program innovation by administering entrance and placement exams, certification and licensure exams, distance learning exams and pre-employment exams for numerous agencies, businesses and institutions. Testing Services accommodates USF and non-USF customers, and delivers more than 1,000 exams per month. Students and professionals alike may take advantage of Testing Services’ portfolio of exams.
POSITION SUMMARY:
The Test Administrator will coordinate/administer exams from the USF Testing Services exam portfolio in accordance with policies and procedures established by exam agencies, while providing a superior customer service environment. This role will maintain and ensure the security of all testing materials in accordance with established security protocols. This position will also maintain certification(s) necessary to administer exams within the USF Testing Services exam portfolio and engage in marketing/advertising/promotional initiatives for the unit.
RESPONSIBILITIES:
EXAM ADMINISTRATION PREPARATION: Answer general phone/email/in-person inquiries. Coordinate/perform scheduling and payment functions. Prepare all aspects of the physical testing environment including computers, admin stations, video screens and materials needed in testing labs. Initiate start of business on administration stations. Troubleshoot the labs and contact the proper IT personnel to rectify the issue(s) as needed. Ensure there is an adequate supply of test materials available.
EXAM ADMINISTRATION: Administer and Proctor Computer & Paper Based entrance/placement, certification/licensure, distance learning, and pre-employment exams. Complete ID check-in process and give test instructions. Escort each examinee to assigned testing station, ensure proper test launching and respond to examinee’s operational questions. Monitor testing lab environment to ensure appropriate testing security and procedures are followed. Implement new testing policies and procedures as required. Accommodate candidates with Special Needs. Handle and report testing irregularities. Provide score reports and ensure proper check out. Receive, log, file, and return test materials. Perform close of business procedures.
MAINTENANCE/UPGRADE: Install CBT (Computer Based Test) technology for exam delivery with assistance from IT support personnel, to include problem resolution, operating procedures/protocols, computer hardware, computer software, power distribution, network wiring, security equipment and other necessary materials for exam delivery.
MARKETING/PROMOTION/OTHER: Identify potential marketing, advertising, and promotional opportunities, both within and outside the university. Work with marketing team to develop materials and attend promotional events. Research new testing companies for potential examinations. Answer general phone/email/in-person inquiries.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, and three years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.
PREFERRED:
College degree as required by some exam agencies. Customer service experience within a university setting. Current test administration certification from College Board-CLEP, ETS, and Pearson VUE.
SPECIAL SKILLS/TRAINING:
Excellent organizational, communication and computer skills; strong attention to details; reliable work habits; utmost professionalism. Ability to work as a team, to multi-task, and to prioritize.
