Position Overview Assist with administrative tasks including preparing correspondence, maintaining records, maintaining calendars, monitoring office inventory, ordering supplies when necessary and completing various assignments as needed. This position may be the first point of contact for the department, and is tasked with ensuring that information flows accurately, efficiently and effectively while maintaining appropriate confidentiality.
Duties may include:

  • Managing records and documents
  • Performing general administrative support tasks such as proofreading and receiving and distributing mail; may handle cash
  • Greeting visitors, callers and/or email inquiries, determining nature and purpose and directing them to specific destinations/individuals/information
  • Other duties as assigned

Position Qualifications

Required Experience
  • Organizing tasks to meet deadlines
  • Participating in teams to accomplish shared goals
  • Using computer software and applications for word processing, email, and internet searches
Required Education
  • High School Diploma or equivalent
Required Other
Additional Preferred
  • Bachelor’s degree and/or two years’ experience as an administrative professional.
  • Customer service experience.
  • Banner training and experience in Finance, Human Resources and Student modules.
  • Experience with higher education academic rules, regulations, policies, procedures, curriculum, and graduation requirements.
  • Ability to multi-task and take direction from multiple staff members in an office setting.
  • Knowledge of office management, record keeping methods, and information management practices, computer applications for example: Word, Excel, Banner, Web Applications, planning and scheduling processes.
  • Knowledge of University of Idaho policies and procedures which include, but are not limited to course offerings, registration procedures, and fee processing procedures.
  • Experience working independently in project completion, working effectively and efficiently in a multi-tasking environment, demonstrating flexibility, utilizing conflict resolution skills and maintaining confidentiality, working with individuals from varying cultural and socio-economic backgrounds.
