Role Purpose :

Are you excited to be a part of the Film team at the British Council working as a Travel Grants Coordinator? This role supports implementation of activity – funded through external funding from the British Film Institute – that sits under the Culture Connects global Arts programme:

You will support the programme manager in the implementation of the film travel grants in compliance with British Council policies and procedures including financial administration, reporting and data collection, operational project delivery and supporting relations with funding and delivery partners.

The role can be based in any of our UK offices and will work with colleagues across the British Council’s Global Network.

Main Accountabilities :

Managing self and others

  • Holds vendors and suppliers to account for delivering services and grantees for delivering grant milestones.
  • Has the ability to work independently and manage workload against project deadlines.
  • Actively contributes to an inclusive and anti-racist organisational culture, being aware of own biases, and taking action to mitigate against these. Ensures people feel valued and are treated equitably, with support for people’s well-being and mental health.
  • Understands the British Council’s approach to equality, diversity and inclusion and how it applies to the role and makes time for learning and development relating to EDI and anti-racism.

Financial and Resource Management

  • Plans and reports on project financial plans and budget expenditure and forecasting to Programme Managers and Director Film; manages smaller budgets.
  • Maintains clear and up-to-date records on all financial transactions as per audit requirements.
  • Ensures relationships with vendors and grantees are maintained and payments are processed on time and in accordance with FABS on-line system (SAP Finance) guidelines.
  • Compliance to BC financial policies and procedures.
  • Compliance to agreed policies and procedures as set out by the partnership agreement with BFI

Project Management

  • Responsible for data management including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data, and developing progress reports to meet needs of funders.
  • Supports internal compliance such as due diligence, records management, data collection and storage.
  • Manages grants administration, selection and evaluation and procurement processes.
  • Manages events-based components and trainings within a programme, e.g. on safeguarding standards
  • Supports the project / programme manager in implementing diversity mainstreaming action plans and contributes to it.

Relationship and Stakeholder Management

  • Manages relationships with clients/partners/stakeholders at appropriate level.
  • Manages relationship with vendors and suppliers and holds them to account for delivering services.

Minimum Essential:

  • Experience of working in a supporting role on complex programmes or projects in the arts and/ or creative industries.
  • Administrative and financial administration experience.
  • Experience of financial and contract management

Desirable:

  • Knowledge of/ experience in using SAP to manage financial programme tasks, particularly experience setting up vendors, raising POs and processing payments on SAP.
  • Experience of collaborative working across multiple sites/ organisations
  • Experience of data extracting and reporting

Further Information:

Contract Type- 1-year Fixed term contract

Location – UK wide (London , Manchester, Cardiff, Belfast and Edinburgh)

Pay Band – 6

Salary – Up to 26,995 plus 3,300 London Market allowance if based in London. This is a full-time salary and will be pro-rated when offered and the calculation will be based on 18 hrs work.

Work Hours – 2.5 days per week for 12 months (18 hrs each week) with possibility of extension
