Reporting to the VP, Marketing & Community Engagement, the Coordinator will provide key support to the business unit, including marketing, events and community giving. This is an ideal role someone looking to gain valuable experience within marketing, fundraising, events and administration.Key Duties and ResponsibilitiesAs a Coordinator, Community Engagement you will be responsible for:Calendar and Executive Support (20%)

  • Provide calendar support to the VP and 2 Directors to enable efficient use of time and resources
  • Coordinate meeting logistics and preparation of meeting materials, including briefing notes, presentations, reports and other materials as required
  • Handle logistical planning for virtual and in-person meetings with teams, agencies, donors and partners
  • Coordinate monthly team meetings including room booking and material preparation
  • Submit expenses and invoices for approval and participate in reconciliation

Mid-Level Giving (30%)

  • Provide donor support to Mid-Level Giving program to ensure that appropriate donor cultivation, acknowledgement and stewardship activities are in place and executed. This includes making phone calls, preparing mailings, and email correspondence with donors
  • Act as project coordinator on donor engagement touchpoints including scheduling, task management, monitoring, and ensuring timely completion of deliverables
  • Assist in organizing, coordinating and managing donor meetings and stewardship events
  • Support the development and implementation of Mid-Level initiatives that advance the team’s annual and long-term strategic goals

Donor and Gift Data Management (20%)

  • Develop and maintain a deep understanding and expertise in the use of the Foundation’s donor database and corporate intranet, and act as a team champion for both. Duties may include training team members, generating queries, and researching donors and prospects
  • Responsible for posting meeting notifications and call reports for VP and Directors
  • Perform all data-entry, coding, uploading and filing and information management pertaining to the Mid-Level activities
  • Coordinate the completion of gift processing forms working cross-functionally with colleagues as required
  • Maintain and update donor and event records; ensuring activity is promptly and accurately recorded in CRM (Raisers’ Edge) and fundraising platforms (Artez)

Team Support (30%)

  • Provide support to the Marketing, Digital, Events & Community Giving teams, including scheduling external meetings, securing event dates, and vendor payment
  • Support the review of direct mail laser lives to validate accuracy for mailed fundraising appeals, as required
  • Support digital team in the Quality Assurance (testing) phase of new initiatives
  • Assist the team with long-term work such as fact-finding, competitive reviews and surveying of best practices and digital approaches
  • Support RSVP tracking for some donor events
  • Responsible for helping to coordinate the onboarding process for new team members
  • Assist in high-level projects specific to organizational goals
  • On occasion, provide support at Events which can require evening and weekend work, and occasional local travel
  • Other projects and items as assigned that will continue to move the team forward

Qualifications and CompetenciesBelow are qualifications and competencies we believe the successful candidate will need for this role:

  • 1-3 years of experience in a similar role or a combination of relevant experience and education
  • Knowledge of Raiser’s Edge is an asset
  • Excellent communication and interpersonal skills
  • Strong organizational and time management skills
  • Strong relationship-building skills with a customer-service oriented mindset when working with internal and external stakeholders
  • High attention to detail and commitment to delivering quality results
  • Self-starter with the ability to work with minimal supervision

Total Rewards PackageThe hiring range for this position is $50,000- $55,000. The salary will be determined based on the successful candidate’s years of experience, qualifications and competencies that are relevant to this position.In addition to salary, our competitive compensation package also includes, comprehensive health and dental benefits, HOOPP (Healthcare of Ontario Pension Plan) and hybrid work environment with a minimum of two (2) days in office.​​​We know that everyone’s career journey looks a bit different and experience comes in many forms.
