As such, UUSA is a tax-exempt organization as defined under Section 501C(3) of the Internal Revenue Code and is governed by an independent, non-salaried Board of Directors.Position: Senior Associate, AdministrationLocation: New York/HybridFLSA Status: Full-Time/ExemptSalary: $59,600 – $69,600 annuallyPosition DescriptionThe Senior Associate will work closely with the Administration management team, providing support in Mailroom, Production, Travel and Facilities administrative processes. This position will require extensive people, communication, organizational, technical and process skills, the ability to continuously prioritize multiple projects, and have an elevated level of focus on quality, accuracy, and confidentiality.This role will execute office-related tasks and procedures to ensure organizational effectiveness and efficiency. This position reports to the Assistant Director of Administration, Administration Manager and Facilities and Operations Manager.Key Responsibilities/Outcomes (include but are not limited to):General Support (40%)

  • Work closely with the Administration Team to support administrative, facilities, travel, mail, and production operations.
  • Review, assist, support and assign all service tickets.
  • Develop, edit, and format correspondences, such as letters, meeting minutes, and spreadsheets.
  • Prepare and distribute various communications and types of business reports and perform data analysis and reconciliation.
  • Facilitate invoices and expense reimbursement forms through coding, approvals, and accounts payable for processing.
  • Assist with planning of vendor or internal meetings or conference calls, including scheduling and communication, maintaining information, and preparing and distributing materials.
  • Maintain inventory of office supplies and departmental materials for the purpose of ensuring availability.
  • Track and monitor department budget, savings, and contracts.
  • Maintain library of resources on BOX, including relevant administration forms, policies, and general information.
  • Perform other similar or related duties which may not be specifically included within this position description, but which are consistent with the general level of the job and the responsibilities described.

Travel Administration (20%)

  • Review, add, delete, and maintain all travel profiles.
  • Serve as a point of contact for travel-related inquiries and issues, providing timely and accurate assistance.
  • Assist with monthly travel reconciliation process.
  • Maintain up-to-date knowledge of travel policies and procedures.

Mailroom and Production Services (20%)

  • Provide mailroom customer service including receiving packages, addressing mailroom and production service and other related questions.
  • Manage inventory and supplies for the mailroom and production services area.
  • Coordinate production jobs, including printing, copying, and binding, ensuring timely completion and delivery.
  • Provide support for office equipment maintenance and troubleshooting.

Facilities Operations (20%)

  • Assist with facilities operations administrative services, such as vendor outreach and management and coordination of maintenance visits.
  • Assist with space management including updating related space management documents.

Qualifications:

  • Bachelor’s degree and a minimum of three years administrative experience, or equivalent.
  • Strong project management and organizational skills, ability to work in diverse teams, and ability to work effectively in a fast-paced environment.
  • Professional presence and exceptional customer service skills.
  • Excellent interpersonal, written, and verbal communication skills including extreme discretion with confidential information.
  • Keen attention to detail, flexibility in high-pressure situations, and the willingness to assist with all tasks needed to ensure the success of the team.
  • Must be a collaborator and a highly motivated, enthusiastic individual who embraces the mission of UNICEF USA.
  • Strong proficiency in Microsoft Office Suite.
