Job Description: Purpose of JobTo provide comprehensive administration and support to the Talent & Culture Manager and People Operations Manager across all aspects of the team, the role includes a variety of critical responsibilities. This involves managing administrative tasks such as maintaining employee records, scheduling meetings, and preparing reports. Additionally, it encompasses assisting with talent development programs, supporting recruitment and onboarding processes. Strong organisational skills, attention to detail, and effective communication are essential to ensure the smooth operation of the Talent & Culture and People Operations teams, contributing to the overall success and growth of the organisation. Key Responsibilities * Provide support to the People and Culture department.

  • Email current vacancies internally and maintain external job adverts for posting through ORC.
  • Draft contracts of employment and offer letters using Oracle Recruiting Cloud (ORC).
  • Support and coordinate monthly onboarding events.
  • Liaise with our service provider regarding employee screening applications from initiation to completion.
  • Conduct reference vetting for new starters and contract employees as required.
  • Enter new starter data into various internal systems, including ORC and HCM.
  • Create new starter files, ensuring all key documentation is present and complete.
  • Send probation & DBS reminders to line managers and maintain probation reports.
  • Perform mail merges for all People & Culture notifications and projects.
  • Draft standard template letters such as salary increase confirmations, probation completions, and site transfers.
  • Update systems with all employee changes, including name and address changes.
  • Maintain and manage employee personnel files.
  • Ensure the security and confidentiality of personal data.
  • Perform general office duties such as answering calls, photocopying.
  • Support candidate screening and review submissions before presenting to managers.
  • Send McQuaig assessment access to candidates and provide reports to managers for all interviews.
  • Arrange and book interviews for managers, either via Teams or on-site.
  • Assist with technical assessments for engineers, working closely with the technical department.
  • Ensure all new starters complete their forms through Journey’s and are live in the HCM portal.
  • Support the pre-payroll process with the Payroll and Compensation Manager, ensuring all starters, leavers, and variations are processed for the month.
  • Assist in managing and reviewing the P&C inbox and handle various reactive tasks as assigned by management.
