FTE 1.0 or 40 hours per week.Salary: $15.48-$17.18 per hour, non-exempt, benefits eligible, 186 day work year calendar.Benefits include: a comprehensive benefit plan, Montana State retirement plan (PERS), overtime eligible, PLUS 8-days holiday pay, 15-days paid vacation, 12-days sick leave and 2 personal days to start. Eligible employees and their covered dependents can also take advantage of FREE healthcare at our CareHere Clinic!Internal Screening begins 5/27/2024Open Until FilledObjective:The Administrative Assistant provides a wide variety of complex and confidential administrative and secretarial support. They can work under a variety of conditions and with a diverse group of people. They are skilled at determining the best course of action swiftly and logically. This support staff member is flexible and excels at fine-tuning processes to best meet needs.Job Responsibilities:
- Manages day-to-day operations of office, including office triage.
- Receives and deliver personal/urgent messages/information.
- Acquires and maintain a knowledge base of information concerning the total school program.
- Coordinates daily staffing and substitute teacher positions.
- Ensures that teacher absences and comp time are documented.
- Ensures that appropriate substitute teachers are assigned to absent teacher positions and substitute teachers are notified.
- Communicates with the district Substitute Manager.
- Welcomes and orients substitute teachers to the building.
- Maintains and coordinates multiple staff and program calendars, schedules, and reports for administration.
- Provides information in response to inquiries in person or by telephone; refers inquiries to appropriate staff.
- Composes and compiles correspondence, information, statistical data, and reports for administration.
- Prepares and oversees communications with students, staff, public, Board of Trustees, businesses, and departments.
- Files and cross-indexes documents alphabetically, numerically, electronically or by another prescribed method.
- Handles sensitive and confidential information with confidentiality.
- Updates forms and schedules annually with administration.
- Receives, screens, prioritizes, and distributes mail.
- Coordinates meetings, orientations, and facilities arrangements.
- Operates office equipment such as copiers, calculators, word processors, personal computers, data terminals, or other equipment.
- Plans and prioritizes work-load to meet set deadlines.
- Administer basic first aid and medications to students.
- Assists staff with special projects as directed.
- Assists new parents/students with the registration process during the school year.
- Assists with scheduling new student registration appointments with the appropriate counselor when necessary.
- Provides well-organized and accurate work.
- Takes appropriate action in the event of an emergency.
- Performs other duties of a similar nature as assigned by supervisor.
Knowledge, Skills and Abilities:
- Knowledge of general office procedures and practices.
- Skill in arithmetic, grammar, spelling, record keeping and compiling materials for reports.
- Ability to become proficient and successfully operate personal computers and spreadsheets, database, word processing, or other software packages.
- Skill in the operation of a variety of office machines including personal computers, telephones and copiers.
- Skill in critical thinking, problem analysis, and resolution.
- Ability to obtain and maintain first aid certification upon employment.
- Ability to maintain effective professional relationships with staff, students, and parents.
- Ability to follow directions.
- Skill, dedication, and aptitude for working with students.
- Demonstrated communication and interpersonal skills.
- Ability to work effectively with people from a variety of culturally diverse backgrounds.
- Ability to maintain confidentiality.
- Ability to maintain regular and acceptable attendance levels.
- Ability to assess student needs as students come in and direct the student appropriately.
- Ability to be flexible.
Minimum Qualifications:
- High school diploma or equivalent and four years of increasingly responsible administrative support experience; OR,
- Associate degree in relevant field of study and two years of increasingly responsible administrative support experience.
Preferred Qualifications:
- None.
Physical Demands:
- Ability to stand on feet for extended periods of time, stoop, bend, lift and carry items up to 40 pounds.
