Management Services CoordinatorVictoria, BCOur client is a professional services and research firm that works with Indigenous communities, industry, and government to address environmental, social, and governance (“ESG”) subject matters. Much of our work supports the implementation of the United Nations Declaration on the Rights of Indigenous Peoples (“UNDRIP”) with a focus on Aboriginal rights and title, land use and occupancy studies, socio-economic studies, land use planning, stakeholder engagement, project management, benefits agreement negotiations, and community relations.The Management Services Coordinator will provide support to the company’s negotiations services team, our management team, and the company’s owners. The ideal candidate will have a background in corporate law, excellent organizational skills, and the ability to handle sensitive information with discretion. This role provides an excellent opportunity for professionals interested in working with Indigenous communities, industry, and government.Qualifications:

  • Paralegal College Diploma or Bachelor’s degree in business administration or a related field.
  • BCPA Registered Paralegal
  • 3-5+ years of experience in a similar role within a legal or corporate environment
  • Ability to work both collaboratively with teams and independently
  • Analytical thinker and problem solver
  • Enjoys a fast-paced work environment, juggling multiple projects and meeting targeted objectives
  • Excellent organizational, communication, and interpersonal skills
  • Excellent writing skills
  • Familiar with Office365 applications

Key Responsibilities for Negotiations ServicesCoordination and Communication:

  • Serve as a liaison between the company and our clients.
  • Facilitate clear and consistent communication to ensure mutual understanding and cooperation during negotiations.

Negotiations Support:

  • Assist in the preparation and execution of documents related to benefits agreements, relationship agreement negotiations, and government-to-government agreements.
  • Organize meetings, take minutes, record actions, and ensure follow-up activities are complete.

Document Control and Record Keeping:

  • Prepare, review, and maintain all necessary documentation related to negotiations and agreements.
  • Ensure that all records are accurate, up-to-date, and securely stored.
  • Set up and maintain project folders using Office365 and Landmark’s internal hardware data storage system.

Relationship Management:

  • Build and maintain positive relationships with clients.
  • Address any concerns or issues raised by clients promptly and effectively.
  • Foster trust and collaboration through respectful communication and teamwork.

Agreement Administration

  • Oversee the implementation and administration of agreed-upon commitments in the negotiations.
  • Ensure that agreement commitments are delivered in a timely and efficient manner.
  • Track and report on the utilization and impact of agreement benefits.
  • Policy Development and Implementation:
  • Assist in developing and implementing policies and procedures related to First Nation benefits and agreements.
  • Ensure that policies are aligned with best practices and our client’s strategic goals.

Training and Coaching:

  • Provide training and support to company and client staff on issues related to negotiated agreements.

Reporting and Analysis:

  • Prepare regular reports on the status of negotiations, agreements, and benefits.
  • Conduct analyses to assess the effectiveness and impact of agreements and suggest improvements as needed.
  • Draft agreement reports and communications materials for internal and external stakeholders.

Community Engagement:

  • Participate in community meetings and events to build rapport and demonstrate the company’s commitment to First Nation partnerships.
  • Gather feedback and input from the community to inform future negotiations and agreements.
  • Develop social media, newsletter, and website content for Landmark clients.

Key Responsibility for Landmark Corporate Support

  • Organize and participate in all management meetings, taking notes, action items, and follow-up commitments.
  • Ensure internal action items and commitments are fulfilled.
  • Support the management team with improving Landmark’s document control and filing system.
  • Provide administrative support to the General Manager and ownership group for corporate meetings.
  • Handle confidential and sensitive information with the utmost discretion.
  • Support drafting corporate documents, Master Service Agreements, and Work Orders.
  • Support corporate meetings for Landmark’s Limited Partnerships.
  • Social media and communications support
