Job SummaryUnder the general supervision of the Office Coordinator, the Administrative Support Assistant II provides clerical support to the Department of Political Science, including assistance to faculty, the Graduate Advisor, and the Department Chair. The role also involves working with the Moot Court and Model United Nations programs, as well as the Undergraduate Advisor, in an office that comprises approximately 47 academic employees, 13 tenured/tenure-track faculty members, 2 FERP faculty members, 17 lecturers, and 15 graduate assistants. The assistant serves as a secondary resource for information regarding department and program policies and practices for faculty, students, and staff, ensuring continuity in policy and procedure. Additionally, the role involves maintaining department budgets and records and completing faculty and staff hiring processes.Key Responsibilities
- Receives visitors and telephone calls for Department. Provides information as appropriate directs inquires. Maintains appearance of offices and posted materials: Assists visitors to the department and directs them to obtain requested information.
- Compiles and reproduces instructional materials, correspondence, minutes, reports and forms. Tracks dispositions of correspondence, expenditures, and forms: Keys, complies, and reproduces instructional materials, correspondence minutes, reports, and forms for faculty.
- Assists with technical duties for Moot Court, Model United Nations, Legal Studies and Undergraduate/Graduate Advisors: File various status reports on majors in the Department for easy reference by faculty and staff.
- Serves as department mail clerk and maintains office and photocopier supplies: Sorts and distributes department mail.
Knowledge Skills and AbilitiesAbility to establish and maintain good working relationships with a variety of people – faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices relating to an academic environment. Ability to perform moderate clerical tasks involving independent judgment, accuracy, and speed. Working knowledge of Windows, Word, e-mail, spreadsheet, databases, webpages, and Peoplesoft. Working knowledge of written and oral communication skills.Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university’s commitment to a “vision of excellence.”Education and Experience
- Equivalent to three years of administrative support experience required.
- Bachelor’s degree preferred.
- Academic Department experience preferred.
