We are seeking an Office Manager based in Richmond Hill, Ontario, who plays a crucial role in enhancing both client and team member experiences while ensuring operational excellence. The ideal candidate will maintain a safe and welcoming office environment. You’ll lead initiatives to keep the community engaged and help sustain a vibrant company culture in a flexible work setting.Responsibilities:Community Engagement:
– Serve as the welcoming face of the company, understanding the impact of first impressions.
– Provide exceptional customer service to both team members and clients.
– Conduct quality control reviews and ensure deliverables meet high standards.
– Build trust through active listening and inclusively soliciting input.
– Think creatively and adapt to new ideas and feedback.Operational Duties:
– Answer, screen, and direct incoming phone calls.
– Manage the general email account and handle mail and packages.
– Assist with organizing events (e.g., birthday celebrations, holiday parties) and support marketing efforts.
– Conduct quality control walkthroughs to address immediate issues and identify areas for improvement.
– Manage vendor and service provider relationships (e.g., cleaning services, security services, HVAC maintenance).
– Maintain a clean and orderly office, kitchen, lobby, and communal spaces.
– Oversee food and beverage offerings to ensure they meet company standards.
– Maintain inventory of office supplies and ensure office equipment is in good working order.
– Facilitate bank deposits and coordinate with the accounting department.
– Handle document processing tasks and provide administrative support.
– Prepare reports, letters, memos, and bind hard copies of finalized reports.Skills:
– Highly organized with a strong attention to detail.
– Excellent communication skills, including answering phones and greeting guests.
– Exceptional organizational and prioritization abilities.
– High level of professionalism.Education & Experience:
– Bachelor’s Degree or relevant field experience.
– 3+ years of experience in an administrative support role.
