This position involves overseeing project plans, assembling project teams, assigning responsibilities, identifying resources, and developing schedules to ensure timely project completion. This position primarily focuses on Generative AI to ensure that UBC has access to and opportunities to explore innovative and emerging technologies. In collaboration with UBC functional and IT teams, the role will help in managing projects at Digital Experience Lab, providing project management starting from design to minimum viable product stage and help in transitioning projects to service implementationOrganizational StatusWork PerformedSpecific Duties:
- Manage the entire project lifecycle of medium-scale or complex projects, providing project management from design to service implementation.
- Develop project plans, assemble project teams, assign responsibilities, and identify necessary resources.
- Coordinate with clients, UBC IT internal departments, external departments, regulatory groups, consultants, and contractors to deliver reliable IT infrastructure and service solutions.
- Prepare IT budget estimates and quotations based on project infrastructure and service requirements.
- Make necessary contacts, obtain signatures, authorizations, and notify necessary units within UBC to initiate projects.
- Maintain project logs, produce written reports outlining project progress, and compile information for schedules and timelines.
- Compile and consolidate billing requirements for UBC IT projects and submit complete invoices to the client.
- Provide technical and analytical guidance and work direction to project teams, including scheduling, assignment of work, and review of project efforts.
- Ensure team members have the tools and training required and provide constructive feedback on project performance.
- Assess variances from project plans, budgets, and schedules, implementing changes as necessary to ensure project success.
- Conduct formal reviews with business sponsors at project completion to confirm acceptance and satisfaction.
- Identify potential areas for improvement in current methodologies and provide guidance to less experienced project managers.
- Maintain a productive working relationship with project sponsors, vendors, and key stakeholders.
Core Duties:
- Initiates projects following appropriate project management methodology including gathering and defining project requirements, developing project charters, project plans, budgets and schedules, identifying staffing requirements, and forming project teams.
- Selects and follows project management methods, procedures, and quality objectives, and tracks metrics for assessing progress.
- Balances workload, provides technical and analytical guidance and work direction to project team, including scheduling, assignment of work, review of project efforts and removal of roadblocks which may inhibit project success.
- Ensures that all team members have the tools and training required to perform effectively, and provides the team with constructive feedback as it pertains to project performance.
- Assesses variances from the project plans, budgets and schedules, develops and implements changes as necessary to ensure that the project remains within specified scope and is within time, cost, and quality objectives, and keeps management aware of the situation.
- Conducts formal review with business sponsor at project completion to confirm acceptance and satisfaction.
- Identifies potential areas for improvement in current methodologies and provides guidance to other less experienced project managers.
- Develops and maintains a productive working relationship with project sponsors, vendors and key clients.
- Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
- Performs other related duties as required.

Undergraduate degree in a relevant discipline. In-depth knowledge of applications and the business requirements supporting them. Minimum of five years of related experience, or the equivalent combination of education and experience.– Willingness to respect diverse perspectives, including perspectives in conflict with one’s own– Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.-Conceptual understanding of Generative AI, Chatbots, large language models and process automation type of technologies. Willing to learn emergent technology concepts and landscape.-Experience managing and delivering enterprise-level projects in large organizations.-Working knowledge of open-source solutions.-Experience with major technology platforms such as Microsoft, AWS, and Google.-Knowledge of emerging technologies related to large language models and generative AI solutions.-Experience with projects involving multiple stakeholders across large organizations.-Strong organizational and communication skills.Preferred Qualifications
- Agile project management certification
- Working experience with open-source platforms and software an asset
- Experience in post-secondary educational institution is desired
Skills:
- Familiarity with tools for the creation of local Large Language Models (LLM) such as LangChain, HuggingFace Models etc.
- Familiarity with infrastructure to support Large Language Model development & deployment, such as Sockeye and other HPC resources, Azure / AWS, Colab
- Familiarity with the processes / elements of LLM deployment including prompt engineering, fine tuning, data preparation, RAG (Retrieval Augmented Generation), Quantization etc.
- Familiarity with current LLM models, their requirements, model evaluation tests such as MMLU and HellaSwag
- Familiarity with privacy & security best practices for training & use of LLMs trained / tuned on private information.
- Experience in utilizing and implementing tools for language model development and training.
- Proficiency in managing and configuring language model frameworks and platforms.
