An exciting opportunity has arisen for a part-time Receptionist/Executive Assistant to join a close-knit and friendly team based in Barbican, London, in order to cover a 12 month maternity contract, working Monday-Thursday.This is an office-based role.This is a varied, busy and hands-on role where you can add real value.This role will suit someone who is proactive and for whom no job is too big or too small. You will be joining a supportive team and will work in an environment where everyone rolls their sleeves up and gets stuck in!Candidates will have previous experience in a similar role and be on maximum 2 weeks notice in order to be considered.Duties will include:

  • Meeting and greeting all external visitors in a friendly and professional manner, ensuring they sign in and out of building
  • Answering all incoming phone calls and directing them to the appropriate person or department
  • Monitoring external mailbox and distributing incoming mail to the appropriate person or department
  • Ensuring the reception area is tidy and presentable at all times
  • Supporting the wider office team with administrative tasks such as filing, photocopying, and data entry as required
  • Supporting the management of office supplies such as stationery, office snacks, beverages and cleaning products
  • Managing meeting room bookings and ensuring that all necessary equipment is set up and ready to use
  • Working closely with Executive Assistants to ensure both meetings and internal office events are catered
  • Handling all incoming and outgoing courier packages and deliveries
  • Organising charity lunches/ Fundraising and office social events
  • Broader office support activities such as office presents/cakes for birthdays, welcome for new joiners, office events/socials
  • Supporting line manager with some administrative EA activities such as expenses, diary management, travel arrangements + administration for meetings

Note – typical working hours are 8:30am – 5:30pm but this may need to flex based on the visitors booked in for the week e.g. occasional early visitors.Person Specification:

  • Previous experience in a receptionist role
  • Experience with EA related responsibilities
  • Excellent communication and interpersonal skills
  • Strong organisational skills and attention to detail
  • Ability to multitask and work in a fast-paced environment
  • Proficiency in Microsoft Office Suite
  • Ability to maintain confidentiality and handle sensitive information with discretion
