Join us in rewriting the narrative of leadership and making a lasting difference that echoes through generations.Role Overview: The Executive Assistant to the CEO is a key support role within our tech start-up, designed for a highly organized, proactive, and detail-oriented individual. This role requires a professional with proven experience in executive support who can manage a range of administrative, project management, and communication tasks. The ideal candidate will be adept at multitasking, prioritizing, and problem-solving, with a strong ability to maintain confidentiality and manage sensitive information.Responsibilities:Administrative Support:

  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Handle incoming and outgoing communications, including emails.

Problem-Solving:

  • Develop and implement efficient systems to streamline workflows and enhance productivity. Identify gaps and create solutions to improve overall operational effectiveness.
  • Proactively address and resolve issues that arise in the executive’s workflow. Implement strategic solutions to prevent recurring problems and ensure smooth operations.
  • Serve as a gatekeeper for the Executive’s schedule, ensuring it aligns with their preferences and strategic objectives. Manage and adjust the calendar to optimize the executive’s time and support their priorities effectively.

Project Management:

  • Assist with special projects, initiatives, and tasks as assigned by the executive.
  • Monitor and follow up on project timelines and deliverables using tools like Asana.
  • Coordinate with departments and external parties on behalf of the CEO.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing pre-briefs, setting agendas, and following up on action items.
  • Add/remove team members from internal meetings, respecting focused time blocks.
  • Schedule meetings efficiently, favoring 45-minute blocks and minimizing same-day meetings unless critical.

Travel Management:

  • Plan and book travel arrangements, including flights, hotels, and transportation.
  • Prepare detailed itineraries and ensure smooth execution of travel plans.

Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality.
  • Ensure compliance with company information security policies.

Communication Liaison:

  • Act as a point of contact between the CEO, employees, and external partners.
  • Facilitate communication within the organization and with Marketing for social media communications.

Document Management:

  • Maintain and organize files, records, and databases.
  • Ensure documents are accessible and properly archived.

Technical Support:

  • Provide basic technical support for applications.
  • Coordinate with IT for complex technical issues.

Training and Onboarding:

  • Work with HR to manage New Hire documentation and onboarding schedules.
  • Assisting with the scheduling of onboarding of new staff members.

Required Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Experience in office management or other relevant administrative support roles.
  • Experience supporting C-level executives or senior leaders, including managing complex schedules and strategic priorities.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Asana and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and strong problem-solving skills.
  • Professional demeanor and high level of discretion.
  • (Preferred) Lives in or near New York City for travel obligations

Compensation Opportunity: Competitive commission structure + Equity incentives until break-even.As part of the SOULCHI team, you’ll take part in our equity-based compensation model, aligning your success with the success of our business. After much research we have found the fairest equity model for a startup. We use the Slicing Pie model. First phase is equity-based only, which we are currently in. Equity calculations move dynamically based on your fair market rate and actual number of hours worked. In the second phase, which happens at the break-even point, the equity freezes at each member’s current earned percentage and compensation switches to salary + benefits. Your equity percentage gets paid out annually as part of the profit sharing.
