The Gender and Security Division (GSD) leads DCAF’s work promoting gender equality in security sector reform and governance by providing policy advice, conducting practical research and implementing operational projects. The Division has 14 full- and part-time staff members and we are looking for an experienced, dynamic, and creative individual to be our new:

Administrative Officer, Gender and Security (80%-100%)

  • Duration: permanent

The role

Working closely together with all colleagues in the Gender and Security Division (GSD), and reporting to the Deputy Head of the Division, the Administrative Officer will provide administrative and logistical support to the Division, including organising workshops, seminars and similar events globally and in Geneva. The role requires initiative and independence as much as a collaborate, team-oriented approach.

Key areas of operation

  • Carry out administrative tasks for the Division, including but not limited to, preparation and processing of payment orders and expense reports for the Division’s activities, liaising with the Resources Department, monitoring data on GSD’s projects and activities, and note-taking at meetings.
  • Assist in identifying, liaising, and contracting, with providers of lay-out and design services, translation and printing, including assisting in payment processing.
  • Provide support in organising, preparing and conducting events and activities in Geneva and globally, which includes finding and booking conference venues, accommodation, flights and local transport, identifying and liaising with printing and interpretation / translation services etc. Travel to events may be required to facilitate on-site support.
  • Assist in the Division’s communication and visibility activities such as providing input to DCAF newsletters and other social media and communication activity.
  • Maintain and update files, databases, records and/or other documents; including the Division’s record keeping of activities, contacts and consultants as well as a database of GSD projects and publications; maintain or develop where needed, internal databases with user-friendly guidelines for administrative and other internal processes; monitor data on GSD’s projects and activities; maintain the Division’s filing system, general database and archive.
  • Support the Division’s Financial Control Officer in the preparation and processing of payment orders and expense reports for the Division’s activities, liaising with the Finance Division when necessary.
  • Other duties as assigned.

Your experience and profile

  • At least three years of professional experience working with similar tasks in an increasingly independent way.
  • Experience working in an international, multi-cultural environment.
  • Proficient in the use of Microsoft Office, particularly Excel, Word and PowerPoint.
  • Strong ability to think and act independently and creatively but also collaboratively, to work with colleagues at all levels, to multitask, and an excellent sense of planning, organization and management of priorities.
  • Excellent social and interpersonal skills.
  • Strong personal commitment to principles of gender equality and diversity.
  • Fluent in English, and professional command of French. Other languages a plus.
  • A valid work permit for Switzerland (or Swiss/EU citizenship) at the time of application is a pre-requisite
