Your work will support the Head of Edinburgh Trust, allowing them to focus on strategic initiatives related to poverty reduction, co-production, and community engagement. The role includes a variety of tasks such as managing the Head’s diary and inbox, coordinating meetings, and maintaining an efficient filing system for key documents across the programmes portfolio. This position offers a fantastic opportunity to engage with exciting initiatives, connect with diverse stakeholders, and expand your knowledge and experience in areas like programme management and community support, all while contributing to our mission of tackling financial insecurity.The ideal candidate will have proven experience in administration or a similar role, with strong skills in diary management. You should possess excellent organisational and time management abilities, enabling you to effectively juggle multiple tasks. We are looking for someone who is adaptable, proactive, empathetic, and skilled in communication and collaboration. An open-minded approach and the ability to devise creative solutions to administrative challenges are essential.We offer flexible working patterns, both in terms of hours and remote working. To provide administrative support to the Edinburgh Trust Team2. To support the management of the Head of Edinburgh Trust and wider team calendars3. To manage the shared Microsoft teams space4. To manage the processes required to support new and existing partner organisations and co-production partners to participate in Turn2us’s programmesDuties:1. To provide administrative support to the Edinburgh Trust Team.Organise and minute key meetings, arranging agendas, circulating meeting papers and recording actions.Provide administrative support for directorate wide meetings, workshops & events as required.Submit invoices and complete monthly expense reports on finance systems.Supporting recruitment processes in collaboration with HR colleagues.2. To support the management of the Head of Edinburgh Trust and wider team calendars – arranging appointments and meetings in a timely manner and helping the find space to meet prioritise meetings with external stakeholders.Working with the Head to prioritise meetings (internal and external).Managing the Head of Edinburgh Trust’s calendar.Managing team calendars to make space for team meetings, trainings and learning sessions.Support the sharing of information about forthcoming meetings.Supporting the Edinburgh Trust Team management of external meetings.3. To manage the shared Microsoft teams space for shared documents.To manage the shared online space for documents, making sureit is organised and accessible, and regularly updated.4. To manage the processes required to support new and existing partner organisations and co-production partners to participate in Turn2us’s programmes.Support partner organisations and coproduction partners to participate in programme activities (e.g. workshops, committee meetings). Ensure processes set out in Turn2us’s co-production framework and toolkit are followed, including making sure people are paid promptly for their time.To support the maintenance of collaborative, positive relationships with partner organisations and coproduction partners (these could be people who have used Turn2us services and/or people who have used partner organisation’s services).Keep partnership information up-to-date on the CRM database.These are the normal duties, which the Charity requires from the position. However, it is necessary for all staff to be flexible and all employees will be required from time to time to perform other duties as may be required by the Charity for the efficient running of the charity.
