The Languages unit is responsible for ensuring that the translation and interpretation requirements of the Organization’s governing bodies meetings are addressed effectively and in a timely manner. Some support can be provided for WPRO’s technical units’ requirements.

Duties:

Within the delegated authority, the incumbent is assigned the following responsibilities:

  • Ensure smooth running of the WPRO Languages Unit in close collaboration with other administrative and programmatic staff and non-staff personnel through the efficient provision of translation and interpretation support services, in both English and French, to the Technical Lead.
  • Ensure the smooth flow of translation jobs and provide guidance to various divisions, units or Country Offices in the Region.
  • Draft general correspondence, documents and reports in English and French on own initiative for the Technical Lead’s clearance ensuring correctness of the submitted correspondence/documents are prepared according to WHO rules, practices and procedures.
  • Propose plans and cost estimates, arrange for contract services required to ensure delivery of completed translations.
  • Identify, contract and coordinate freelance interpreters and translators and ensure efficient operation of the French and Chinese pool offices.
  • Coordinate translation and interpretation support services required for conferences and meetings, such as WPRO Governing Bodies meetings and Regional Committee Meeting, with relevant internal and external parties.
  • Monitor progress of required documentation/information.
  • Create, maintain, update and monitor access to specific unit files and reference systems and databases, ensuring accurate and appropriate filing of confidential and sensitive information including the contact database of freelance translators. 
  • Ensure translations of official documents are created and finalized in the United Nations’ computer-assisted translation interface – eLUNa.
  •  Monitor the work and guide support personnel within the unit, including language contractors and conference staff, when necessary and upon delegation of the Technical Lead.
  • Keep up-to-date with relevant policy technological developments, standards and digital tools and platforms.
  • Perform other related duties as assigned by the supervisor.

Education:

Essential:

  • Equivalent to graduation from secondary school or a recognized French institute supplemented by linguistic-related training.

Experience

Essential:

  • Minimum of 8 years’ work experience in secretarial/administrative posts, including experience in language services functions (English and French) 

Skills:

  • Thorough knowledge of office procedures as well as skills in note taking and minute writing 
  • Strong organization and office skills
  • Ability to draft and proofread standard correspondence in English and French
  • Ability to discern routine from non-routine
  • Ability to work harmoniously as a member of the team, adapt to diverse educational and cultural backgrounds and maintain high standard of personal conduct.

Language Skills:

Essential:

  • Expert knowledge of English. Expert knowledge of French.
