Reporting to the Manager, FIN Business Planning within the FIN Planning and Transformation team, you will play a vital role in delivering comprehensive bilingual administrative support to the Financial Services (FIN) Senior Leadership Team and other management team members.Your primary responsibility will be to ensure that all administrative activities operate smoothly, efficiently, and in a timely manner. Your organizational skills and attention to detail will be crucial in helping FIN achieve its objectives and maintain a high standard of service.Your responsibilities will include:

  • Proactive Leadership Support: Take charge of planning, calendar management, and document preparation for your clients, ensuring seamless operations.
  • Meeting Leadership: Schedule and organize meetings, prepare comprehensive background materials, and oversee logistics for larger events, including catering coordination.
  • Continuous Improvement Advocate: Actively monitor work processes, identifying and implementing operational enhancements for greater efficiency.
  • Quality Champion: Uphold high standards of service, ensuring tasks are completed with accuracy and clarity through diligent monitoring and effective planning.
  • Meeting Documentation: Capture and circulate minutes promptly, ensuring accurate records for all meetings, and prepare and edit essential documents for FIN Management.
  • Records Management: Design and maintain filing systems that adhere to the Bank’s standards while meeting departmental needs.
  • Content Creator: Generate and manage engaging content for the FIN departmental SPO site (FINsight), including informative blogs and updates.
  • SharePoint Expert: Serve as a power user for SharePoint, providing guidance and support to users while liaising with Information Technology Services as needed.
  • Travel Coordinator: Make travel arrangements and complete expense claims for FIN Management team members.

What you need to succeed

  • Advanced MS Office Proficiency: Expertise in MS Office Suite (Word, Excel, PowerPoint, Outlook) is essential for effective document creation, data analysis, and communication.
  • Exceptional Organizational Skills: Demonstrated ability to efficiently plan and organize work, anticipate needs, and adapt to changing priorities. Must excel in juggling competing demands and renegotiating deadlines while maintaining high-quality standards.
  • Independent and Team-oriented: Proven ability to work autonomously and collaboratively within a team. Must know when to escalate issues and provide support to colleagues.
  • Strong Interpersonal Skills: Ability to share expertise, give constructive feedback, and contribute ideas to achieve collective goals. A true team player is essential.
  • Self-Starter with Problem-Solving Skills: Capable of resolving complex day-to-day problems independently and making recommendations to senior colleagues when necessary, using established procedures and guidelines.
  • Strong Communication Skills: Excellent written and oral communication skills, with the ability to produce clear and grammatically correct documents and convey messages tactfully and effectively.

Your education and experience
This position requires an administration certificate/diploma or high school diploma and a minimum of two full years of recent work experience providing administrative support services. An equivalent combination of education and experience may be considered.What you need to know

  • Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.
  • Priority will be given to Canadian citizens and permanent residents
  • Security level required: Be eligible to obtain Reliability

  • Salaries are based on qualifications and experience and typically range from $56,170 to $66,083 (job grade 12)
  • The Bank offers an incentive for successfully meeting expectations at 3 to 5% of your base salary. The Bank offers additional performance pay (2%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
