Job description

The administrator will provide full confidential and efficient administrative support to the CAMHS Team. Working closely with the Business Support Officer, the post holder will be required to work on his/her own initiative and demonstrate a willingness to help others and be a key member of the team. The post holder will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post. Excellent interpersonal and communication skills are essential with an ability to deal with highly sensitive and challenging situations. The post holder will be required to utilise a personal computer for word processing and database management.Main duties of the jobProvide a highly confidential and sensitive administrative support to the CYP Crisis and Intensive Support TeamProduce a range of highly confidential, good quality documents including letters, memoranda, team minutes etc. from written and audio transcription, also composing correspondence where required.Receive phone calls and general enquiries from families, professionals, various agencies (both statutory and voluntary) in a confidential, courteous and sensitive manner as per Trust policy, referring telephone queries to a more senior colleague where appropriate.Receive phone calls and general enquiries from families, professionals, various agencies (both statutory and voluntary) in a confidential, courteous and sensitive manner as per Trust policy, referring telephone queries to a more senior colleague where appropriateMaintain an effective office support system including filing, photocopying and scanning on behalf of the CYP Crisis and Intensive Support TeamInput new referrals received by the Team onto the Trust computer systemOrder and maintain of adequate stocks of office stationary and prerequisites using the E-Procurement system.To work in conjunction with the Business support Officer to ensure adequate office cover within the CYP Crisis and Intensive Support Team Department and cover during periods of annual leave, sickness etc.About usBy joining Team MPFT, you will be helping your communities and in return for this, we will support you by

  • Good standard of general education (i.e. CSE/GCSE) including English and Maths.
  • NVQ Level 3, RSA III / ECDL or equivalent level of secretarial experience

Desirable

  • NVQ Level II Customer Service/Business Administration

ExperienceEssential

  • Relevant knowledge of computer packages, including word processing, outlook, etc.
  • Relevant experience of secretarial experience and telephone work
  • Experience of producing accurate documentation, reports etc. to a high standard from hand-written and audio transcriptions
  • Experience of dealing with sensitive/distressing issues
  • Previous experience of data input
  • Experience managing office supplies and ordering

Desirable

  • Previous secretarial experience within CAMHS
  • Previous secretarial experience within a medical or NHS environment
  • Experience of using RIO
