Guerrilla Foundation is looking for an Administration and Operations Manager (part-time 20-25hrs/week)

We are a radical philanthropic organisation and funder of European activist and grassroots social movements based in Berlin, Germany, founded in 2016. This year, we will channel about 1.4 Million EUR into the European activist ecosystem.

To do this successfully and within the limits of German charity law, we need strong yet flexible internal financial and administrative processes that support our European activities and virtual team. We are looking for an Admin and Operations Manager with min. 5 years experience in all matters of non-profit administration within the German administrative context.

Because the job requires extensive communication in German, we need to exclusively invite people with native-level German skills who are also fluent in English (our work language) to apply. Ideally, you’ve got extensive experience with German bureaucracy and aren’t afraid of the likes of Betriebsprüfung and Gemeinnützigkeitsprüfung durch das Finanzamt.

We are a virtual team used to asynchronous collaboration and are looking for someone who really likes to work virtually and independently with very little supervision. Some of us work from a co-working space in Berlin Neukölln where you could join us (not a requirement).

What’s the work like?

  • Grant administration and transfers
  • Ensure legal compliance with German charitability law
  • Administration of incoming invoices and reimbursements
  • Administration of funding agreements and incoming funding from our Funders Circle
  • Accounting & financial reporting: monthly invoice & receipt management (using DATEV), accounting and budget controlling, support the accountant in the production of annual financial reports
  • Main point of contact for German finance authorities, production of the annual activities report (Tätigkeitsbericht), handling potential audits by the finance office
  • Salary administration, contact point for our payroll accountant
  • Contact point for team on HR matters (e.g. maternity leave, contracting new employees, retirement plans, …) and responsible for legal compliance & implementation of HR policies
  • Travel & location booking for conferences, events, team & annual retreats, event management
  • Documentation, streamlining and updating of internal admin processes and workflows
  • Participation in onboarding new organisation members
  • Participation in our decentralised sociocratic internal governance

Skills & experience required:

  • High attention to detail
  • Ability to handle various priorities and deadlines without dropping the ball
  • Well-organised self motivator who highly values the chance to work independently
  • Excellent communication skills, fluency in German and English
  • Financial management skills & Excel proficiency
  • Ability to (quickly learn how to) use various softwares & virtual communication tools (Zoom, Slack, Notion, Drive/Cloud & shared documents, Conceptboard, our internal grant management software, Open Collective) and willingness to communicate on Signal, What’s App, Telegram to stay connected with the team and your stakeholders
  • Min. 5 years of relevant professional experience in comparable relevant tasks in a German non-profit/foundation context

Nice to have:

  • Experience with working in a sociocratic organisation
  • Specific issue- and regional experience with European grassroots movements (while not necessary for the job) will be a massive plus in understanding and relating to our work
  • Legal background/deeper experience with German charitability law
  • Additional language skills beyond German and English
  • Experience working with DATEV
