The External Relations Associate is supervised by the Associate External Relations Officer. The incumbent receives regular guidance and advice from the supervisor. Advice and operational support may also be received from other senior staff and support units at the Country Office, Regional Bureau, or HQ. External contacts are generally with a broad range of officials from national and international institutions, involving the exchange of a wide range of information.
All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. – Stay abreast of operational developments in the country and assist in the preparation of briefing notes and reports.
– Compile information received from the Field Office and sections within the Office and consolidate into reports, updates, and factsheets.
– Assist in the development of funding submissions, appeals and donor reports.
– Assist in project coordination and reporting, including budget tracking, indicator monitoring, and narrative reports, ensuring accuracy and timely submission.
– Monitor multisectoral indicators and compile data for internal and external reports.
– Assist in ensuring compliance with reporting requirements and assist in tracking project-level and donor commitments.
– Help enforce compliance with reporting requirements and consolidate and provide inputs for donor reports
– Facilitate donor stewardship through correspondence, updates, and coordination of field missions and visits.
– Respond to ad-hoc inquiries from donors and produce tailored briefing materials as needed.
– Prepare and distribute meeting minutes when required, and ensure documentation is archived adequately.
– Perform other related duties as required.
>>> Desirable Experience and Skills
Experience in Project Management: Background in managing, supporting, or monitoring project activities, especially in contexts that involve reporting, data consolidation, and donor engagement.
Familiarity with Donor Relations: Experience in maintaining donor relationships, including writing reports and handling inquiries
Understanding of Multisectoral or Humanitarian Contexts: Exposure to or knowledge of multisectoral work, especially in humanitarian or development fields, is an asset.
Communication: Communicates clearly and professionally in both writing and speaking, tailoring messages to the audience. Maintains a high standard of language and format in reports and other documents.
Adaptability and Flexibility: Demonstrates flexibility in dynamic work environments, adapts to new tasks or projects as priorities shift, and remains resilient under pressure.
Attention to Quality and Detail: Delivers work with a high degree of accuracy, ensuring compliance with standards and guidelines. Consistently reviews work for completeness and precision.
Problem-Solving: Approaches challenges with a solution-oriented mindset, identifies possible issues early, and seeks guidance as needed. Applies sound judgment to resolve day-to-day issues effectively.
Time Management and Prioritization: Efficiently manages time, prioritizes tasks, and handles multiple responsibilities under tight deadlines. Able to adapt to shifting priorities without compromising quality.

For G6 – 3 years relevant experience with High School Diploma; or 2 years relevant work experience with Bachelor or equivalent or higher.
