RSK Boden + Wasser GmbH, part of the internationally operating RSK Group since 2020, is an independent consulting company specializing in waste and water management, hydrogeology, and contaminated site remediation. Since our founding in 2007, we have supported public clients, industry, and businesses in Austria and internationally, with a focus on Upper Austria.We are now hiring for an Office Manager (m/f/d) / Assistant to Branch Management (m/f/d). This role is to join the team in our Gallneukirchen location, Austria.This is a part time role 20 hours per week with an option for full time employment.As an Office Manager, you will be the central point of contact for our office, taking on independent responsibility for office organisation and coordination. You will create an efficient working environment, ensure operational safety, and foster a positive workplace atmosphere.Key Responsibilities:
- Welcoming and assisting visitors, addressing and responding to inquiries
- Ensuring smooth business operations and identifying potential areas for improvement.
- Implementing and optimising internal processes in coordination with safety officers
- Coordinating resources and maintaining relationships with suppliers and service providers
- Acting as a point of contact for questions related to office operations
- Ensuring cleanliness and order in communal areas, maintaining filing systems, managing correspondence, and ordering supplies
- Supporting external accounting and payroll, particularly by requesting and forwarding necessary documents and creating outgoing invoices.
- Serving as the central contact point at reception, overseeing daily operations, preparing performance reports, and regularly reporting to branch management.
- Organising and coordinating appointments, meetings, and business travel, as well as updating contact databases and staff lists.
- Procuring and managing office and consumable materials, and arranging catering for internal events and meetings.
- Taking responsibility for internal office organization and layout, including workstation arrangements, resource provision, and offering solutions. Ensuring ergonomic standards and optimizing space utilisation
Person Specification:
- At least two years of experience in office management.
- Excellent time and task management, high flexibility, and strong interpersonal skills.
- Proficiency in MS Office and willingness to learn new systems.
- Experience handling confidential information.
- Solid English skills (international setting with headquarters in the UK).
- Completed commercial training, bachelor’s degree, or equivalent qualification.
- Experience in optimising and developing internal processes.
- Strong computer skills and experience with online platforms
- C2 Level German proficiency
