Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.The Broker Onboarding Officer is responsible for the effective onboarding of Mortgage Broker Offices, Brokers, Agents and Administrative Assistants to Scotia Mortgage Authority® and includes executing on the entire process from application receipt through to aligning newly approved firms/brokers/agents/assistants with their appropriate underwriting relationship and submission point. The incumbent will also monitor individual agent submissions through broker firm centralized underwriting desks, producing reporting and making recommendations to the Senior Manager to move agents “up” to a Broker Relationship Manager, “down” to a Broker Lending Manager, or “out” of Scotiabank (off-boarded) if they do not meet minimum requirements.Is this role right for you? In this role you will:
- Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
- Retrieve and process Mortgage Broker Agreements, Mortgage Broker Applications, Mortgage Agent/Administrative Assistant Applications and Direct Deposit Enrolment Agreements received via direct mail.
- Communicate with Mortgage Broker Offices, Brokers, agents and administrative assistants and references to verify application details and ensure they are accurate and complete prior to hand-off to a Broker Lending Manager (BLM) Add approved Mortgage Broker Offices, Brokers, Agents and Administrative Assistants to the Scotia Mortgage Authority® Broker database and disseminate Member IDs and passwords, in collaboration with the Broker Management Group (BMG)
- Provide basic guidance and training (including phone calls, webinars, written guides, etc.) to new Brokers on BNS products, programs, policies, and processes and educate them on target expectations and implications of under delivering.
- Act as the initial point of contact for new mortgage agents to SMA, answering onboarding questions and escalating / responding to concerns
- Assess broker volumes and provide them with access to SMA either through the firm’s centralized underwriting desk/a Broker Lending Manager (BLM) or directly through a Broker Relationship Manager (BRM).
- Assess Broker performance and make data-driven recommendations to the Senior Manager regarding Brokers who should a) transition from access through their firm’s centralized underwriting desk to a BRM as deal volumes hit a specified threshold, or b) be off-boarded from SMA due to under performance over a specified period of time.
- Provide off-boarding communications and support, including to BMG and RVPs/BRMs as it relates to broker movement, license lapses, etc.
- Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
- Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.

Do you have the skills that will enable you to succeed in this role? We’d love to work with you if you have:
- University Degree or Diploma with 2 to 4 years of related work experience
- Strong knowledge of the Bank’s retail mortgage lending policies and procedures
- Proven communication and relationship building skills Strong knowledge of the Bank’s online systems
- Expert knowledge of the mortgage broker industry
- Ability to use personal computer programs; Microsoft office, Intralink, Email and BNS commercial software
- French would be a great asset
Working Conditions:Work in a standard office-based environment; non-standard hours are a common occurrence.
