With a nationwide reputation, our client is embarking on a large-scale initiative over the short and long term and have been adding to their front and back-office teams. With growing popularity, our client is looking for highly engaged professionals who can subscribe to their strong corporate brand. Due to a recent growth strategy for 2025, and a internal promotion, our client is needing some support within their fundraising department.The Administrative Coordinator will serve as a dependable right-hand support to the Director of Fundraising & Events, playing a crucial role in facilitating fundraising activities and stakeholder engagement. This position involves managing the Director’s calendar, scheduling meetings, and coordinating event logistics such as booking rooms, preparing notes, and creating presentations. The coordinator will handle travel arrangements, prepare accurate expense reports, and maintain organized financial records. Strong organizational skills are essential, as the coordinator will establish and maintain efficient filing systems for correspondence, reports, and documentation. The role also includes drafting and reviewing internal and external communications with professionalism and accuracy, ensuring clear and timely messaging. Acting as a key point of contact, the coordinator will support smooth stakeholder communication, address conflicts as needed and prepare timely reports. Additional tasks may be assigned by the Director to support fundraising and operational success.The ideal candidate for the Administrative Coordinator role will have a strong foundation in administrative processes, scheduling, and office management. Proficiency in the Microsoft Office Suite, particularly Excel, Outlook, and Word, as well as Google Workspace, is essential for managing calendars, preparing reports, and coordinating event logistics. Excellent organizational and time-management skills are critical to ensuring tasks are handled efficiently and accurately. Strong written and verbal communication abilities are required for drafting, editing, and maintaining clear correspondence with stakeholders. The successful candidate must demonstrate discretion and professionalism when managing confidential information, as well as adaptability and problem-solving skills in a fast-paced environment. A diploma or degree in office administration, business administration, or a related field is preferred. Candidates should have a minimum of one year of experience in an administrative or support role or a coop completed, ideally in a similar non-profit setting. Fluency in English, both written and spoken, is required, while proficiency in French would be considered an asset. The position requires full-time, on-site work in downtown Ottawa, with occasional availability for evening or weekend events. Possibility of a hybrid environment may be available once proven in the role.What Will Make You Stand Out:
