Job Purpose

The Project Manager is responsible for planning, executing, and overseeing GDC projects to ensure they are completed on time, within scope, and within budget. The role includes operational support for the Secretariat, regular reporting to the Secretariat Lead and Board, and ensuring compliance with financial and administrative requirements. The Project Manager works within the Department of Humanitarian Department (DHD), reporting to the Head of DHD, and aligns with the overarching strategic goals set by the Board and Overarching Department

Job Duties and Responsibilities

  1. Project Development and Management
  • Take ownership of organizing major global events and managing the event life cycle.
  • Enhance organizational capacity through effective management of finance, project and human resources, supporting operational development of GDC.
  • Work closely with the GDC Board, DHD Head, and Secretariat Lead to improve the operational structure of GDC and its related initiatives, including the GDC Academy.
  • Develop detailed project proposals and concept notes, including objectives, activities, timelines, budgets, and monitoring and evaluation plans
  • Help with developing project strategy plan for DHD and how it contributes to the major impact initiatives GDC aims to achieve
  • Ensure availability of a project before the end of a current project for GDC growth and sustainability
  • Fundraising activities, search for projects to grow GDC or GDC’s role as global convenor of diaspora organizations including writing applications to secure projects
  • Coordinate before, during and after all GDC events or throughout the project cycle
  • Level up significantly GDC media impact, including promotion of work in major media outlets of six regions. Beyond social media.
  • Lead the application of project management tools, training, and remote working tools for project effectiveness.
  • Effective risk management to ensure GDC and project will not run into unmanageable challenges that may impact project closeout and partner relationships
  • Promoting GDC vision and achieving GDC mission through projects
  • Prioritize the needs of GDC and the project
  • Provide comprehensive reports on all project activities, including financial reports, ensuring regular updates to the Secretariat Lead and the Board.
  • Ensure key project-related decisions are followed and communicated to the relevant teams, including the Overarching Department
  • Collect and analyze data to track project performance and impact.
  • Prepare and submit approved reports to the donors
  • Engage in fundraising activities, and search for humanitarian and development related projects
  • Develop brief notes on findings and best practices of the project and share with the Marketing and Communication Department for design and dissemination for donors, partners and the wider community
  • Develop acknowledgement documents/emails and “thank you letters” for partners, donors, and stakeholders for their contributions and support throughout the project and share with the Marketing and Communication department for design and dissemination.
  • Collaborate with HR within the project and across the Administrative Department to address operational overlaps.
  • Supervise project assistants and interns, and coordinate all GDC events.
  • Assist the marketing team in developing promotional materials, direct marketing, press releases, and media advisories.
  • Support gathering information for website and social media updates, while reviewing articles for the GDC newsletter and social platforms.
  • Attend routine planning and management meetings with the Overarching team, DHD Head, and Secretariat Lead.
  1. Administrative Support
  • Serve as a liaison between the Secretariat Lead and the project team, ensuring that all reports, including financial and operational, are completed on time.
  • Provide line management for the project team, ensuring compliance with all Secretariat operational procedures.
  • Collaborate with the HR department for project-related human resource management tasks.
  • Maintain regular communication with the Head of DHD and report key project milestones and outcomes to the Overarching Department
  1. Financial Reporting and Compliance
  • Ensure timely and accurate financial reporting, including budgets, expenditures, and forecasts, in line with GDC’s financial policies.
  • Coordinate with finance teams and ensure compliance with financial regulations and donor requirements.
  • Provide regular financial updates to the Secretariat Lead and the Board, addressing any risks or discrepancies in project budgets.
  1. Other Responsibilities
  • Organize, facilitate, and attend GDC internal and external meetings.
  • Coordinate GDWeek events, staff meetings, and contribute to GDC’s mission and values.
  • Develop and pursue professional goals with the Secretariat, striving for continuous improvement

Education

  • Bachelor’s degree with 7 years experience or Master’s degree at a recognised institution

Knowledge and Skills

  • Strong passion for volunteerism
  • Strong organization, coordination and administrative skills
  • Good understanding of diaspora diversity and needs
  • Knowledge of MS365 and project management tools
  • Ability to build relationships with a variety of individuals across functions and outside GDC to effectively contribute to the functioning of the team.
