About The RoleRole OverviewproAV are a leading global audio visual integrator, providing AV and event services across multiple client partnerships globally.Our immediate requirement is for an experienced Project Coordinator to be a key part of our Egham team, representing proAV, taking full responsibility for assisting the project managers and teams by monitoring and implementing the framework for them to operate within.This role also includes managing and coordinating smaller projects, where it is not viable / economical to assign dedicated Project Managers. The project Coordinator role will also include supporting Project Managers where necessary with Admin, client communication, such as email and telephone calls. The Project Coordinator must be competent enough to co-ordinate project resources such as people, information, rooms and equipment both solely and as a support mechanism to the Project Managers.This is an exciting opportunity for an exceptional, experienced Project Coordinator to join an established operation with scope to drive and enhance the service at every opportunity.Experience and seniority of the position will be reflected by the remuneration and benefits package.Key Responsibilities

  • Maintain and support clients and their needs.
  • Assisting in ensuring that projects are run in compliance with the Organisation’s requirements.
  • Providing guidance and feedback to project teams.
  • Providing a general ‘readily available’ interface between Client and the Business.
  • Managing and monitoring individual & collaborative work loads.
  • Maintaining and integrating project plans.
  • Tracking & reporting overall progress.
  • Administering the project budget and tracking project costs.
  • Planning & scheduling resources for a group of projects.
  • Monitoring resource utilisation.
  • Performing quality reviews.
  • Establishing and maintaining the project documentation library.
  • Weekly updates to the Operations Manager for submission to the directors.
  • Provide secretarial support to the Directors and Senior Project Manager, as well as other members of the management team where required.
  • Ensure that all client requirements are dealt with or escalated in a timely fashion to meet established goals and objectives.
  • Understanding of company policy & Processes and adherence to both client and internal environments.
  • Taking and typing minutes of meetings.
  • Microsoft Dynamics; Office: creation and formatting PowerPoint presentations; creating, updating Excel spreadsheets; Outlook- management of emails; SharePoint.
  • Liaison with colleagues, clients and suppliers.
  • Any personal tasks assigned by the Directors or Senior Project Manager.
  • Assisting with the creation and amendments of quotations & valuations.
  • Organising and maintaining diaries, making appointments, organise and prioritise workload, coordinate reservations, send RSVPs to events, and schedule/assist with meetings as necessary.
  • General admin duties- filing, maintaining of project files, systematic organisation of working environment.
  • Coordination, alongside a given Project team, in order to fulfil project needs. Take care of enquiries, tasks, and requests from key proAV accounts as necessary, advising the Senior Project Manager and/ or Directors as appropriate.
