We serve engineering students by creating a clear path that supports them throughout their academic programs and enables them to complete their programs on time, overcome barriers to success, and enjoy a positive educational experience.PositionReporting to the Manager, Student Services, the Student Services Advisors will provide superior student services to undergraduate Engineering students. Specific responsibilities are to administer the admission and transfer credit processes for domestic and international applications, provide academic advisement for undergraduate students, including first-year, evaluate academic standing and facilitate convocation procedures within the Faculty of Engineering.The incumbent(s) work independently within the student services team, and contribute to the service, enrollment management and community outreach goals of the Faculty of Engineering. They are accountable for contributing to the effective delivery and maintenance of the specialized programs within the Faculty of Engineering and its four departments and provide comprehensive, individualized assistance and academic advising.Advisors must have a working knowledge of issues related to the Freedom of Information & Protection of Privacy Act (FOIP) and accommodation of students with disabilities as well as a passion to work one-on-one with students.The advisors will work closely with more than 4800 undergraduate students to provide advice on program requirements, academic performance and timetable management.The incumbent(s) will also be the liaison to the departmental Associate Chairs of Undergraduate Studies, Program Directors and acts as a resource to department and faculty undergraduate academic planning committees.DutiesStudent Advising and Program Management
- Advises current and prospective students and staff about university and faculty policies and procedures regarding admission, registration, program planning, program completion, convocation including Iron Ring, course withdrawals, academic standing, grades, deferred exams and FolPP; advising is conducted verbally and in writing (in-person and e-advising) Rotational advising to provide in person advising.
- Advises and coaches students regarding larger life issues such as career planning; refers students with severe personal difficulties to the appropriate professional counselors and/or agencies on campus.
- Complete student pre and co requisite checks throughout the year. Exercise full signing authority to grant or deny deferred exam and re-exam requests, evaluating each case individually using established faculty policies and standards.
- Exercise full signing authority to admit or refuse applications for admission to the BSc Engineering programs. Including all domestic and international applicants.
- Consult with the Dean’s Office and Departments regarding special cases and transfer credit approval where applicable. Monitor student progress to resolve timetable conflicts, identify course deficiencies and ensure students are aware of any Program of Faculty wide changes.
- Maintain accurate records of student interactions and decisions. Process transfer credit at admission and throughout the programs on exchange programs and letters of permission.
- Respond to external requests for student information from post-secondary, government and financial agencies while ensuring strict compliance to FOIP legislation.
Information Coordination
- Coordinate and monitor programs and course information published in the University of Alberta calendar to ensure accurate information and identifies and corrects errors.
- Evaluates Academic Standing for all students in Undergraduate Programs. Reconciles accuracy of University Secretariats Notice of Course Program Circular with respect to changes proposed by APC Committee.
Convocation
- Determines graduation eligibility and certifies degree completion for all undergraduate programs upon consultation and approval from each department.
- Assess credit from outside domestic and international institutions with recommendations for final approval from departments. Advise students on course deficiencies and provides a program path to facilitate graduation. Process accurate graduation lists for Fall and Spring Convocation and for APEGA Iron Ring Ceremony. Calculate Engineering Graduation Average, First Class Standing and Distinction for inclusion on the graduation list.
Other
- Provide ongoing support to the Manager, Student Services.
- Provide information to Department Assistant and Associate Chairs (Undergraduate) and in some departments Program Directors regarding program specific students.
- Assist in Undergraduate special events as required, may include: Open House, Engineering EXPO, First Year Student Engineering Nights, Undergraduate Scholarship Information Night and Orientation.
- Assist with development and maintenance of Standard Operating Procedures with respect to Undergraduate matters.
Minimum Qualifications
- Minimum undergraduate degree in related fields of, but not limited to, BComm; BEd; BA; or BSc. Equivalent combination of education and experience may be considered.
- 3-5 years of related student service experience in a post-secondary institution required.
- Training/workshops in handling students at risk recommended.
- Superior customer service orientation, interpersonal skills, tact, initiative, and a positive attitude.
- Excellent communication (oral and written, intercultural, organization, and problem solving skills).
- High degree of initiative and ability to work independently with minimal supervision.
- Ability to manage and prioritize large volumes of work in the face of strict deadlines.
- Demonstrated ability to maintain confidentiality while working with highly sensitive information.
Preferred Qualifications
- Working knowledge of UofA academic policies and procedures is an asset.
- Technical Competencies, including:
- Excellent computer experience including Microsoft Office applications and Google Workspace.
- Experience with student administration system technology (PeopleSoft Campus Solutions and Slate), ONN Navigator training, ASSIST and Mental Health First Aid and Community Helpers program is an asset.
- Experience working with electronic documents and records management systems is an asset.
- Communication systems experience such as working with Campaign Monitor, as well as presentation and virtual events platforms such as Zoom, Google Meet, and Remo.
- Behavioural Competencies, including:

Demonstrate strong interpersonal skills, fostering a cooperative work environment by encouraging teamwork and facilitating open information sharing.

Gather and analyze relevant information to develop effective, practical solutions that align with faculty specific goals and strategic priorities. Ability to assess multiple alternatives, weigh risks and benefits, and implement timely solutions is essential. Adept at resolving complex issues in a way that balances the short term needs and long term goals of the faculty and university.
- Time Management/Priority Setting: Demonstrate strong time management skills, effectively balancing and delivering multiple high-priority tasks under tight deadlines. Capable of exercising conscious control over the time spent on specific tasks to optimize productivity and performance, both individually and as part of a team. Be able to prioritize when necessary to ensure all critical activities are completed efficiently.
