We hope this message finds you well.

We are reaching out to request a quotation for the supply and installation of solar systems for two of our centers located in Sinjar and  Al Qahtaniya. The main purpose of these systems is to ensure a reliable electricity supply during the day to support our operations. Please be guided by the requirements indicated in the attached file.

 

Scope of Work:

  1. Initial Assessment:
  • A site assessment to evaluate specific requirements and conditions at both centers.
  • Identification of optimal panel placement and other relevant technical considerations.
  • Detailed Bill of Quantities (BOQ):
    • Following the assessment, a fully detailed BOQ / Schedule of prices  is to be provided.
    • The BOQ / Price schedule  should include:
    • Specifications of the proposed solar Systems and related components (e.g., inverters, batteries if needed, wiring). Size and capacity of each system should be guided by Annex 1:  Power Requirements
    • Quantities, unit prices, and total costs. Please complete Annex 2: Price Schedules (Supply and installation of Solar Systems in Sinjar and Al Qathaniya)
    • Warranty details for equipment and installation services.
  • Implementation Plan and Timeline:
    • A clear timeline for the completion of the project, from procurement to installation and commissioning.  Please complete Annex 3: Delivery Schedule
  •  Additional Considerations:
    • The system design should prioritize maximizing electricity output during daylight hours.
    • The solution should comply with relevant safety and efficiency standards.
    • Provide any recommendations to ensure cost-effectiveness and long-term sustainability.
  • Site Visit (Mandatory ):
    • To assist in preparing your proposal, a site visit is required. Please contact us on (This email address is being protected from spambots. You need JavaScript enabled to view it.) to register your visit to the sites, the appointed date for the site visit is Sunday (January 26th,2025)
  • Eligibility Criteria:   
  • In order to be considered as eligible, bidders are required to provide the following:

    • Copy of  Valid business registration
    • Copy of  Valid Tax clearance certificate
    • Previous experience, demonstrated by providing 3 contracts completed in the last three years of a similar nature (Supply and installation of Solar systems)

     

    1. Documents to be submitted for RFQ Evaluation:

     

    • Duly completed RFQ (This Document)
    • Duly completed Price Schedule – Annex 2
    • Duly completed Delivery Schedule – Annex 3
    • Technical Data sheets, catalogues etc.
    • Warranty and After-Sales information

     

    1. Evaluation Criteria:
    • Submission of Eligibility documents (Refer to eligibility criteria)  – Pass / Fail
    • Submission of documents for RFQ Evaluation (Refer to documents to be submitted for RFQ evaluation – Pass / Fail
    • Lead time – 20 %
    • Price – 80%

    Submission Deadline:

    This Request for Quotation consists of:

    1. Request for Quotations (RFQ form)
    2. Annex I: Power Requirments
    3. Annex II: Prices Schedules
    4. Annex III: Delivery Schedule

    Please provide your completed Office, all the above-mentioned documents by Tuesday, January 28th,2025, 16:00H latest.
