Position OverviewThe United Nations Foundation (UNF) was created in 1998 with entrepreneur and philanthropist Ted Turner’s historic $1 billion gift to support UN causes and activities. Peace on Purpose equips United Nations humanitarian workers with trauma-informed tools to support their mental and physical well-being. These humanitarians operate in crisis zones and volatile environments, where surveys show that 50% experience burnout or mental health challenges. Over the past eight years, Peace on Purpose has reached 21,000+ United Nations personnel in 177 countries through in-person and digital programs.Peace on Purpose is in a stage of rapid growth, focused on sustainability and scaling up its hybrid program model. The Coordinator, Field & Digital Programs position will support the coordination of both the in-person field program and the digital program, directly contributing to the overall growth of Peace on Purpose. This position requires an individual who is equally excited to get into the nitty-gritty details as they are to offer solutions-focused thinking. The ideal candidate can execute, mindfully.The Coordinator, Field & Digital Programs will be a member of the UN Foundation Advocacy team. They will report to the Senior Director of Peace on Purpose.This position is a full-time, 1 year -term position based in Washington, DC. (Hybrid schedule)Essential Functions
Event Coordination:

  • Coordinate the backend of all Peace on Purpose mission trips, including (but not limited to) coordinating event logistics such as venue selection and reservation, room set-up, catering, equipment, etc.
  • Schedule and execute “venue call” with host venue’s event coordinator ahead of each mission to ensure production team is set up for success
  • Ensure compliance with UNF event processes, including travel authorization forms, travel waivers, contracts, and payments
  • Create budget tracker and track expenses for individual trips; regularly review and use data from projected budget versus actuals to inform budget decisions, with approval from Senior Director
  • Manage participant registrations for both the in-person and digital programs, including providing the Senior Director weekly updates, maintaining waitlists when needed, etc.

Travel Coordination:

  • In accordance with UNF Travel Policy, coordinate all aspects of travel including, but not limited to, coordinating transportation and lodging for the PoP team; co-creating and communicating agendas; making any necessary reservations; preparing travel authorizations; executing expense reimbursements
  • Research each country the Peace on Purpose team is traveling to in a given calendar year, with a particular focus on Visa requirements and relevant cultural information
  • Manage the Visa process ahead of each mission for each of the team members traveling, compiling all support documentation required to share with UN counterparts, securing Notes Verbales from our UN counterparts, and completing Visa applications for each team member. When necessary, contact the appropriate Embassy or Consulate to clarify the process.
  • Create an “EYNTK” (Everything You Need to Know) package for each mission, using a template, to be shared ahead of the mission with the facilitation and support team
  • Create trip-specific packing lists and pack the PoP “production bags” ahead of each mission
  • Continuously update and maintain PoP Inventory Tracker, taking stock of inventory after each mission trip
  • Book all accommodation needs for traveling team and maintain reservations, making any necessary changes, etc.
  • Schedule all ground transportation for traveling team, including airport pick-ups and drop-offs, etc., and provide clear communication and instructions to traveling team
  • Serve as support person for PoP facilitation team while traveling and in-country, answering questions, supporting in the case of flight cancellations, etc.

Communications:

  • Support Peace on Purpose participant communication for both the in-person and digital program
  • Manage the Peace on Purpose inbox, responding to inquiries from participants in a timely manner

Other duties:

  • Support implementation of the Peace on Purpose digital programs (including the Explorations Series and Champions Program) for UN staff globally by serving as the PoP support person during all digital workshops, and other tasks as needed
  • Continue to refine the PoP Standard Operating Procedures (SOPs) for both the in-person and digital programs
  • Assist with Peace on Purpose expense tracking, budget reviews, quarterly and yearly business plan reporting, and annual Lululemon grant updates
  • Help with general support for Peace on Purpose consultants
  • Other programmatic and operational duties as assigned

Selection Criteria

  • College degree required
  • 1-3 years of professional experience in administration and/or programmatic experience
  • Previous meeting or event planning experience preferred
  • Basic understanding of mindfulness and the practice of mindfulness; but more importantly, an interest in learning about mindfulness
  • Excellent verbal and written communication skills required
  • Ability to work across international time zones and a willingness to adjust working schedule accordingly at times
  • Experience traveling internationally and an understanding and respect for different cultures
  • Solutions oriented: ability to identify flaws and propose a solution
  • Eagerness to “roll the sleeves up” and get into the nitty-gritty details of a project
  • Strong attention to detail
  • Ability to multi-task
  • Ability to organize and prioritize work and manage time effectively
  • Ability to work independently and be self-motivated, along with an eagerness to receive feedback
  • Strong professional interpersonal skills.
  • The ability to establish trusting relationships
  • Proficiency in either Spanish or French a bonus
  • Proficiency with Zoom
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Knowledge of WordPress and Adobe Photoshop preferred
