Role Purpose:
To provide highly confidential, comprehensive and effective support and personal assistance to the Executive Team member. This will cover the full range of administrative and personal assistant functions, including assisting with research and the preparation of correspondence, reports, policies and other communication papers to support the member of the Executive Team in fulfilling their role as effectively and efficiently as possibleKey Accountabilities:

  • Provide the full range of personal assistant functions, including time and travel management, research and preparation of correspondence, reports, policies, Board papers and other communication in line with meeting cycles.
  • Undertake a wide range of tasks and assignments requiring considerable use of judgement, personal initiative and discretion.
  • Act as a link between the member of the Executive Team, the CEO, the Executive Team and members of the Leadership Team that report directly to the Executive Team member and other colleagues as necessary.
  • Suggest and make constructive recommendations to improve efficiency and effectiveness of the Functional Leadership Team
  • Facilitate communications between the Executive Team Member, their Leadership Team and other internal and external key stakeholders
  • Facilitate meetings and / or events as required to include attendance at meetings, workshops, hospitality, accommodation, meeting schedules, preparation and issue of agendas and papers. Liaising with 3rd party suppliers ensuring delivery as required
  • Ensure adherence to the Arqiva’s policies and processes that apply to the role and embrace the culture goals of the organisation.
  • Occasional support for other Executive Team Members including support of company wide events
  • Arrange payment of invoices, expenses and approvals on behalf of the Executive Team member and their Senior Leadership Team as required
  • Support less experienced colleagues and contribute to a connected network of professionals across Arqiva (eg become an active member of the Admin Network)
  • Be a role model for digital and transformed ways of working

Required Expertise:

  • Previous experience of working with senior management and taking responsibility of projects /events
  • Fast thinking, proactive and confident working unsupervised using own initiative
  • Proven organisation skills with the ability to prioritise heavy workloads and remain calm under pressure
  • Highly organised and have a methodical approach to workload
  • Self motivated and resilient
  • Experience in production and prof reading of presentations and documents
  • Commitment to discretion and confidentiality essential
  • Highly competent in use of Microsoft tools
