Under the direction of the immediate supervisor, administer accounts. Acts as resource person and resolves problems. Processes or monitors the processing of financial, accounting and payroll transactions. Examines, analyses and reconciles accounting and financial records as well as documents such as bank statements, expenditures, budgets, loans and others. Ensures accuracy and compliance with University, government and granting agency guidelines, as well as accounting, reporting and payroll policies and procedures. Performs various administrative tasks according to the needs of the unit.Major Duties and Responsibilities:Reporting to the Financial Administrator, the Accounts Administrator will perform the following duties for the Schulich School of Music.Primarily responsible for overseeing and performing all transactional procedures within the Schulich School of Music, including but not limited to, advances and expense reports, purchase orders, requisitions, receipt and invoice processing; revenue deposits; journal entries, stipends, fund opening, accounts receivable, and accounts payable.Receives and reviews all documentation for the above-mentioned processes and advises on corrections/additional documentation as needed.Acts as resource person for financial and transactional policies and procedures. Provides additional resources and guidance to faculty and staff to fulfill compliance with university, government and granting agency guidelines. Maintains up-to-date knowledge of these matters and gives explanations to researchers, staff and external stakeholders.Monitors the shared finance email account.Provides detailed information on fund balances to faculty and staff and prepares statement of accounts.Maintains records as per the required compliance and document retention regulations.Updates and maintains the financial transactional dashboard, files, and related folders.Liaises with fund administrators and internal stakeholders in Financial Information Services, Procurement, IT Services to investigate discrepancies with accounts or funds.Performs any other related tasks as requested by the Finance Administrator or Finance Manager.The list of duties and responsibilities outlined above is representative and not a complete and detailed list of tasks which may be performed by an employee whose position has been matched to this generic job description.Other Qualifying Skills and/or Abilities:Excellent analytical and problem solving skills.Ability to administer funds and prepare detailed budgets.Demonstrated ability to effectively communicate and interact with various levels of staff and academics. Service-oriented with strong customer service skills.Ability to create comprehensive financial statements and work with complex formulas (Excel) as well as create detailed and professional reports.Proficiency in computerized applications such as; spreadsheets, databases, word-processing software, Banner FIS, Crystal reports, Workday, Minerva.Knowledge of McGill fund types an asset. Proven organizational skills, ability to multi task, prioritize and meet deadlines.Ability to work independently or as part of a team.
