Job description

Role Overview:Our client, a prominent Ontario land developer and home builder, is in search of a skilled Accounts Payable Coordinator to join their team. In this role, you’ll play a vital part in supporting both the Finance/Accounting team and our Construction and Development division within a dynamic, multi-company setting. Reporting directly to the Project Accounting Manager, you’ll collaborate closely with Project Accountants to ensure smooth operations.Responsibilities:

  • Receive, scrutinize, validate, categorize, and input invoices into the Newstar accounts payable system.
  • Ensure alignment of invoices with purchase orders or allocation to sub-contracts, as applicable.
  • Validate completion certificates, approvals, and other requisite documents before authorizing payments.
  • Verify invoice accuracy and calculations by cross-referencing with vendor contracts.
  • Collaborate closely with construction and development divisions (Project Manager and Project Coordinator) to resolve invoice discrepancies, expediting processing and payment.
  • Execute weekly and monthly cheque runs.
  • Address vendor and internal inquiries regarding payment statuses and invoice issues.
  • Reconcile vendor statements monthly, reviewing them with Project Accountants.
  • Aid Project Accountants in quarter-end and year-end closings, including booking accruals when necessary.
  • Maintain an updated list of outstanding invoices awaiting approval/coding, reviewing it monthly with Project Accountants.
  • Input new vendors into Newstar based on the provided information.
  • Prepare monthly, quarterly, or annual HST filings, reviewing them with Project Accountants.
  • Compile T5018 reports, review them with Project Accountants, and ensure annual filing to CRA
  • Generate various ad hoc reports as requested by management.
  • Undertake other related duties as assigned.

Qualifications:

  • Post-secondary education (Accounting Diploma or Degree) or equivalent training.
  • 3-5 years of accounting experience in a residential home-building environment is preferred.
  • Proficiency in Excel and Word; experience with NewStar Enterprise is advantageous.
  • Strong organizational skills with the ability to prioritize tasks to meet deadlines.
  • Detail-oriented with excellent analytical and communication abilities.
  • Capable of collaborating effectively with individuals at all organizational levels.
