We are looking for a meticulous and detail-oriented Accounts Payable Specialist to join our team in Newmarket, Ontario. This is a Contract-to-Permanent position, offering an exciting opportunity to contribute to key financial operations while working towards a long-term role. The ideal candidate will bring expertise in managing accounts payable processes, ensuring accuracy, and maintaining strong vendor relationships.Responsibilities:

  • Process, validate, and reconcile invoices to ensure accurate and timely payment for multiple corporate entities.
  • Communicate with vendors to verify billing details, confirm GST/HST numbers, and resolve discrepancies.
  • Manage payment setups with a high level of caution, ensuring compliance with internal protocols and accuracy.
  • Utilize accounting software such as QuickBooks Desktop and Online to manage accounts payable workflows efficiently.
  • Conduct bank reconciliations and account reconciliations to maintain up-to-date financial records.
  • Transition accounts payable processes to a paperless system, leveraging tools like DocuSign for approvals.
  • Support the cleanup of financial backlogs, including scanning and organizing historical documents.
  • Collaborate with internal teams to establish proper workflows and approver hierarchies for seamless operations.
  • Process high-volume transactions accurately, ensuring adherence to corporate policies and deadlines.
  • Proven experience in accounts payable, including invoice processing and vendor management.
  • Proficiency with accounting software systems such as QuickBooks Desktop/Online and other ERP tools.
  • Strong attention to detail and ability to validate GST/HST numbers and other financial data.
  • Familiarity with payment processing systems, including wire transfers and check processing.
  • Excellent communication skills for interacting with vendors and internal stakeholders.
  • Ability to manage high-volume transactions and meet strict deadlines.
  • Knowledge of financial reconciliation processes, including bank and account reconciliations.
  • Experience in transitioning to paperless workflows and using tools like DocuSign.
