The administrative assistant will be responsible for the monthly preparation and review of personnel Income Tax and Social Security across SHO and SHO’s partners staff. Additionally, they will assist the logistics team with paperwork and administrative duties, including recording assets and documents, gathering essential office supplies, and more. Administrative Task:

  • Lead the monthly preparation of Personal Income Tax and Social Security across SHO and SHO’s partners.
  • Close collaboration with the HR department to ensure that all essential adjustments have been made on a monthly basis.
  • Provide the Finance Team with the necessary papers for Social Security and Personal Income Tax to ensure a smooth process.
  • Ensure the employee’s registration and clearance with Social Security a and personnel income tax.
  • Ensure that the Social Security and Personal Income Tax are appropriately and promptly archived.
  • Conduct regular reviews and audits to avoid mistakes in social security and income tax calculations.
  • Provide information and support for all individuals seeking information about social security benefits.
  • Being updated on changes in social security laws, rules, and policies by ongoing collaboration with government agencies and updated legislation.
  • Maintain confidentiality and security of sensitive Social Security and taxpayer information during the course of duties.
  • To be responsible for personal movement between the SHO office and the Social Security and Income Tax offices back and forth.

Logistical Support:

  • Assist in the keeping of accurate records of SHO’s assets, such as equipment, and other tangible and intangible assets.
  • Maintain and update SHO’s asset database to ensure that all information is up-to-date, organized, and easily accessible.
  • Assist in the performance of periodic asset audits to ensure physical presence and compliance with records.
  • Assist with asset-related paperwork preparation for internal and external audits.
  • Respond to internal team enquiries about asset-related information, giving accurate and swift assistance.
  • Contribute to the creation and carrying out of asset management plans and procedures in order to maximize resource use.
  • Support the Logistics officer in preparing PR, PO, GRN, and procurement requirements.
  • Assist in finding process improvement possibilities in asset monitoring, management, and reporting.
  • Maintain confidentiality and security of sensitive asset-related information.
  • Undertake any other duties required by the line manager
