ICT and Administration Intern provides clerical and technical assistance to the UNHCR office under the direct supervision of the Senior IT Assistant under the overall coordination of the Snr Finance Associate to ensure that routine services and activities within the administration field are properly implemented. Subject to the nature of the assignment, he/she will receive regular guidance from other colleagues within the unit and particularly from the Admin Associate. As per specific instructions, the incumbent may require liaising with other internal or external entities, to ensure effective delivery of services and achievement of objectives. The nature of certain tasks requires discretion and confidentiality as per UNHCR standards and practices. The incumbent’s workload and the assignments will remain under the direction of the supervisor in coordination with the Snr Finance Associate

Interns will participate in a range of activities within the ICT and Admin Units. Intern will become familiar with the daily task of related matters in a large humanitarian organization. The overarching objectives of the internship – from the perspective of the intern – are (i) to gain a deeper knowledge of the work of UNHCR, as well as of the frameworks governing the organization’s interventions, rules, and regulation and (ii) to practice and develop analysis skills and other professional working skills, such as project and time management, prioritization, teamwork, presentation skills, etc. The work of the interns is not confined to a single project as may be the case in other internships since interns are involved in all aspects of our work. The engagement also includes some elements of routine tasks (e.g. filing).

Duties and responsibilities include but are not limited to:

  • Assists in maintenance of financial records, budget monitoring systems.
  • Working with Senior ICT Assistant to upkeep the ICT systems and equipment.
  • Assist with official travel requests in coordination with the Admin Associate and Snr Admin Assistant
  • Prepares reports as scheduled and special reports as required for inventory, budgeting, and analytics. 
  • Assists in requisitions of office equipment locally and abroad and arranges for control of distribution and maintenance of appropriate inventory needs.
  • Performs other duties as required.

Minimum qualifications required: 

  • Fluency in English (working language) and Italian (local language);
  • Good command of Microsoft Office suite, Excel and Power Point particularly;
  • Some experience in admin/IT is desirable;
  • Flexibility and adaptability;
  • Good interpersonal relations and team working skills.

Living and Working Conditions:

  • Rome is a HQ Duty Station. Italy has a strong UN presence (more than 10 Agencies Programmes and Funds totaling more than 6’000 staff) and is offering high standard of living conditions and relatively high cost of living. 
  • There is no RC System hence no formal inter-agency coordination system other than the DO for Security related matters. FAO leads the UN team and collaborates closely with Rome based WFP and IFAD HQ.
  • The Italian authorities will issue a visa and residence permit to UNHCR international staff members. Before arriving at a new duty station, finding an accommodation will be a priority. There are some limited facilities to access Duty Free privileges. Buying a new vehicle is a lengthy process while buying second hand is even more complex. The public transport system is relatively reliable, and most colleagues have elected to reside in the office neighborhood.
  • A valid driving license issued by a European Union/European Economic Area (EU/EEA) member state is automatically accepted in all other member states. People with EU/EEA-issued driver’s license who take up residence in Italy are not required to exchange it for an Italian license.
  • Holders of a standard driving license issued from a non-EU/EEA country may drive in Italy using the foreign license for up to one year after obtaining residency.
  • Medical care is up to international standards.
  • UN International expatriates are covered by the medical insurance provided from their workplace. No additional medical coverage is required. A list of English-speaking doctors can be provided, upon request, by the FAO Medical Services.
  • There are several international schools in Rome. The academic year for schools in Italy is from September to June. Generally, schools have long waiting lists and it is advisable to register your child at school as soon as possible. You should also find out about the specific admission requirements at the school. Transfer certificates from previous schools and academic records are usually required. Contracts are made between the school and private individuals regarding payments of school fees. 
  • This means any deposits and commitments to pay fees are your responsibility and not the UN’s.
  • Spouse employment can be challenging, particularly in a post Covid-19 situation where the economy was affected.

Eligibility:

In order to be considered for an internship, candidates must meet the following eligibility criteria:

  • Recent graduate (those persons who completed their studies within two years of applying) or current student in a graduate/undergraduate school programme from a university or higher education facility accredited by UNESCO; and
  • Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization (preferably Economics, Management, Social Sciences or related areas).
  • An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including a Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.
  • Candidates must have the right to work in Italy.
