Job description
Administration Officer required for the Police Ombudsman.
Location: Belfast City Centre
Hours: 37 hours p/w
Pay rate: £11.99 p/h

JOB SUMMARY:
The role of the Administrative Officer is to provide an effective and efficient administrative support service to the History Directorate, carrying out a range of administrative tasks, including use of computer systems, maintaining good communication with colleagues and reporting any issues to line manager as required.
KEY DUTIES: * To draft letters and memos and undertake general administrative/clerical duties and provide administrative/clerical support to colleagues within the department.
- To provide a full range of typing services including audio typing, copy typing, word processing.
- To undertake routine filing duties ensuring that manual and computerised filing systems and registers are maintained and updated as necessary.
- Maintaining statistical records in relation to enquiries of a complex nature involving word processing and excel spreadsheets.
- Deal with queries from internal and external sources.
- To assist colleagues in their work with outside agencies.
- To have responsibility for the opening, distribution and recording of correspondence received within the Department.
- To answer telephone calls and arrange appointments, as required.
- To photocopy and prepare documentation/papers for distribution/processing.
- To ensure the continuity of exhibits within set protocols.
- To assist in the integrity of Office Security.
- To have due regard to the need to promote equality of opportunity between:

- Persons with a disability and persons without;
- Persons with dependants and persons without.
- Any other relevant duties appropriate to the grade as may be required by line management.
ESSENTIAL CRITERIA * 5 GCSEs at grade A – C/9 – 4 to include Maths and English (or equivalent)
OR
NVQ Level II Administration
AND * A minimum of 2 years’ experience working in an administrative role
OR
In the absence of the educational qualifications detailed above, have 3 years’ experience in an administrative role.
AND
Have had experience dealing with complaints,
