Administrative Assistant – 1 Year Term Contract – 17223About the OpportunityOur client is seeking an Administrative Assistant for a one year term contract. The work arrangement for this opportunity is hybrid (two days in the office which are Thursday and Friday).Duties include but are not limited to:

  • Liaise with travel agents and team members to book travel for colleagues (airfare, ground transportation, hotels, etc.)
  • Administer travel pre-approvals and claims for the team (prepare documents, collect signatures, maintain files, confirm expenses, etc.)
  • Create purchase pre-approvals for any corporate credit card purchases
  • Arrange meetings as requested
  • Transcribe meeting minutes from audio files as requested
  • Create, edit, and proofread documents
  • Assist the finance department with Mastercard reconciliation
  • Support with the coordination of events (coordinate travel, field questions and solve issues as requested by participants, and prepare travel documents for traveling team members)
  • Support online workshops through various platforms (e.g. Zoom) for colleagues and participants
  • Assist with office duties such as but not limited to receiving packages and distributing mail as required, stocking office and kitchen supplies as needed, receiving and ordering office supplies, maintaining general office cleanliness, ensuring the boardroom is ready to receive guests, miscellaneous printing for meeting and trips as required, prepare meeting agendas
  • Find ways to improve administrative processes
  • Perform all other related duties as assigned

About YouThe successful candidate will have the following:

  • University degree and/or a diploma/certificate in office administration or a related discipline
  • Two to three years of experience in office administration, preferably with an NGO
  • Superior administration and organizational skills to effectively manage multiple initiatives and projects from beginning to end
  • Strong analytical and problem-solving skills with demonstrated ability to make appropriate and effective decisions under pressure
  • Strong oral communication and writing skills
  • Experience working with Google suite of products (Sheets, Docs, and Forms) and organizing events through platforms such as Zoom
  • Experience of MS Office (Word, Excel, including formulas, cell formatting, pivot tables, and Outlook)
  • English is essential, and bilingualism is considered an asset
  • Experience in a service-oriented role, such as hospitality or event planning/management, would be considered an asset
  • The Administrative Assistant could be asked to travel to International or local conferences, so a valid passport is required, along with complying with vaccination protocols to travel internationally at any time

About the JobThis role is a full-time, one year term contract offering a salary between $53,000 to $55,000 on an annual basis, along with benefits.
