As part of this contract, International SOS should establish Medical Service (MS) in Frontex premises to provide high-quality medical services and carry out medical tests and analyses for Frontex employees and candidates.About Frontex:Frontex, located in Warsaw, Poland and is at the forefront of European border and coast guard management. With a dedicated team of over 2500 staff members, Frontex is committed to the safety and security of Europe’s borders.Key responsibilitiesAs an Administrative Assistant with Frontex through International SOS, you will play a crucial role in supporting Frontex’s employees’ medical services and examinations. Your responsibilities will include file preparation, document management, scheduling medical appointments, and assisting with correspondence and calendar management.

  • Prepare, update, follow-up, and file important documents.
  • Manage document flow and organization.
  • Coordinate annual medical check-ups and pre-recruitment medical examinations for Frontex employees.
  • Liaise with medical centers abroad to schedule appointments for employees and candidates.
  • Assist with order management related to medical examinations.
  • Manage correspondence and maintain the Medical Service calendar.

About you

  • Secondary-education diploma.
  • Minimum of 1 year experience as an administrative assistant in a medical environment.
  • Proficiency in English (minimum level C1) and knowledge of Polish (minimum level B2)
  • Strong communication, organization, and planning skills.
  • Ability to work effectively in a multicultural environment.
  • Highly motivated with the initiative to work under pressure and minimal supervision.
  • Customer-service oriented mindset.
  • Proficient in IT skills and office tools.
