The United Nations Joint Staff Pension Fund was established in 1949 by the United Nations General Assembly to provide retirement, death, disability, and related benefits for staff of the United Nations and other member organizations of the Fund. The Pension Fund pays benefits in 17 currencies to more than 80,000 beneficiaries who reside in 190 countries, and services more than 140,000 participants who work in the 24 member organizations of the Pension Fund. The Fund has offices in New York (United States) and Geneva (Switzerland) and two liaison offices in Nairobi (Kenya) and Bangkok (Thailand), respectively. The United Nations Joint Staff Pension Fund-Pension Administration (UNJSPF-PA) comprises about 250 staff from diverse countries and cultures, based across four prominent duty stations (New York, Geneva, Bangkok, and Nairobi). This position is located in the Office of the Chief Executive (CE) of Pension Administration within the United Nations Joint Staff Pension Fund (UNJSPF) in New York. The incumbent reports to the Chief Executive and works in close collaboration with the Special Assistant to the Chief Executive.ResponsibilitiesWithin delegated authority, the Administrative Assistant will be responsible for the following duties: •Provides substantive and administrative support in managing priorities and workflow of the Office of the Chief Executive (CE) of Pension Administration. •Serves as first point of contact and liaison with senior officials internally and externally. •Screens and prioritizes all incoming correspondence; compiles relevant background documents and references; identifies issues requiring the CE’s attention and refers others to relevant officers for appropriate action; monitors and follows-up on actions to be taken. •Prepares, processes and classifies confidential information. •Provides support to the Office of the CE in preparing drafts to respond to correspondence from high level officials, committees, or governing bodies. •Responds to queries from Pension Board and Committee members, UN departments, participants, beneficiaries and other stakeholders. •Provides support to the Office of the CE to respond to queries from the Fund’s stakeholders regarding pension issues by using the Fund’s systems and databases. •Performs administrative duties, as required (e.g., operational travel programme; monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems). •Organizes official events (receptions, meetings, seminars, conferences etc.), handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, translation etc.). •Assists the Office of the CE with the collection and analysis of data as well as preparation of presentations, reports, articles for information sharing, responding to queries, knowledge management, planning and decision making. •Assists with visualizations and updating information material such as web pages or brochures. •Performs other duties as required, including support to the Deputy CEPA, the Special Assistant, and the Communications Team.Competencies

The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. Experience supporting senior management officials is required. Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) is required. Experience within a large pension fund or financial institution is desirable. Experience working with ERP systems is desirable. Experience in preparing high-quality presentations and background notes for senior executives is desirable. The ability to review and understand data and to synthesize information into clear and concise reports is desirable.LanguagesEnglish and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required.
