Schedule: Monday to Friday, Hybrid remote in Oakville

Duties & Responsibilities:
- Manage executives’ schedules and appointments, including arranging meetings and travel.
- Handle correspondence and phone calls, including screening and redirecting as necessary.
- Prepare and distribute reports and documents, including agendas, meeting minutes, and financial statements.
- Assist in budget preparation and forecasting, and manage accounts payable and receivable.
- Prepare financial reports, including balance sheets, income statements, and cash flow statements.
- Maintain accurate and up-to-date financial records and perform regular bank reconciliation for the healthcare facility.
- Monitor and manage office supplies and inventory.
- Monitor expenses and identify cost-saving opportunities.
- Prepare and process payroll, and ensure compliance with all applicable regulations.
- Provide general administrative support, including answering phones, scheduling appointments, data entry, filing, and record-keeping.
- Ensure that all office equipment is maintained and operational.
- Perform other accounting and administrative duties as assigned.
Skills & Qualifications Required:
- Demonstrated background in Executive Assistant/Bookkeeping roles or equivalent positions.
- Robust understanding of financial and accounting principles and methodologies.
- Proficiency in Microsoft Office and accounting software is essential.
- Exceptional communication and interpersonal abilities.
- Exemplary precision and meticulousness in tasks.
- Executive Assistant: 2 years (required)
- Bookkeeping and Accounting: 2 years (required)
- Adept at multitasking and efficiently organizing priorities.
- Familiarity with standard office equipment such as printers, scanners, and copiers.
- Capable of maintaining confidentiality and exercising discretion in sensitive matters.
- Preferably holds a Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
