Duties & Responsibilities:

  • Manage executives’ schedules and appointments, including arranging meetings and travel.
  • Handle correspondence and phone calls, including screening and redirecting as necessary.
  • Prepare and distribute reports and documents, including agendas, meeting minutes, and financial statements.
  • Assist in budget preparation and forecasting, and manage accounts payable and receivable.
  • Prepare financial reports, including balance sheets, income statements, and cash flow statements.
  • Maintain accurate and up-to-date financial records and perform regular bank reconciliation for the healthcare facility.
  • Monitor and manage office supplies and inventory.
  • Monitor expenses and identify cost-saving opportunities.
  • Prepare and process payroll, and ensure compliance with all applicable regulations.
  • Provide general administrative support, including answering phones, scheduling appointments, data entry, filing, and record-keeping.
  • Ensure that all office equipment is maintained and operational.
  • Perform other accounting and administrative duties as assigned.

Skills & Qualifications Required:

  • Demonstrated background in Executive Assistant/Bookkeeping roles or equivalent positions.
  • Robust understanding of financial and accounting principles and methodologies.
  • Proficiency in Microsoft Office and accounting software is essential.
  • Exceptional communication and interpersonal abilities.
  • Exemplary precision and meticulousness in tasks.
  • Executive Assistant: 2 years (required)
  • Bookkeeping and Accounting: 2 years (required)
  • Adept at multitasking and efficiently organizing priorities.
  • Familiarity with standard office equipment such as printers, scanners, and copiers.
  • Capable of maintaining confidentiality and exercising discretion in sensitive matters.
  • Preferably holds a Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
