Overview of role

  • Serve as Experience Ambassador as the first point of contact at our corporate office reception, welcoming employees/clients/candidates
  • Maintain approachable, curious demeanor and learning mindset while developing and maintaining strong relationships internally and externally
  • Provide critical office administrative support including but not limited to:

+ Receiving packages and mail, generating detailed tracking records as needed
+ Ensuring confidentiality, security, timely distribution and processing of cheques, deposits legal documents, payroll items, etc.
+ Processing remote deposits
+ Processing expense reports and booking travel as needed

  • Deliver personalized services when responding to phone calls, customer inquiries, questions, feedback
  • Provide facilities and catering support including:

+ Ensuring meeting rooms, pantries, and collaborative spaces are always up to standard, including proper setup, functionality of equipment, and stocked supply inventory
+ Maintaining neat appearance of reception/lobby area, conference rooms and other common areas
+ Maintaining accurate records of service requests and status
+ Offering on-site support for office food orders

  • Request building and housekeeping services as needed. Arrange equipment service as needed, assist with temporary signage.
  • Support meeting and events tasks including scheduling, stocking and coordinating setup conference/meetings rooms.
  • Assist with candidate and employee experiences specific to: recruiting, onboarding, inquiries, brand awareness and teambuilding.
