University Enterprises Corporation at CSUSB (“UEC”) supports the university’s educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We’re responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.

Position Summary

Temporary, Full Time, Non-Exempt, Benefited position through 6/30/2024 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance). 

Salary: $4,200.00-$6,000.00 per month.

Location: San Bernardino, CA.

Work Schedule

40 hours per week. Schedule to be arranged, but typically, Monday-Friday from 8:00 am – 5:00 pm though some nights, weekend work may be required.

Typical Activities

Under minimal supervision of the Director of UCDD, the Administrative Coordinator will work independently to:

  • Responsible for billing, invoicing, and revenue reports.
  • Responsible for tracking client attendance and updating the director on billing status with the funding agencies. 
  • Responsible for preparing and tracking paperwork for the vendor approval and credentialing process.  
  • Responsible for coordinating all HR and payroll processes. Will be the primary contact person and responsible for hiring TAs and supervising teachers.
  • Will oversee maintenance of billing and HR records and ensure staff complete the required paperwork. 
  • Will review and approve payroll for TAs and supervising teachers at the end of each pay period.
  • Will report monthly billing update to the director and the accounting department.
  • Responsible for procurement, repairs orders, office supplies. Working with the
  • Facilities to maintain the rooms of the center to be clean and organized.  
  • Conduct office weekly meetings. Report referral and hiring updates, office operational issues to the director.
  • Coordinate outreach events under the supervision of the Director.   
  • Design and update the policies, procedures, forms, website of UCDD under the supervision of the director.  
  • Oversee and manage student office assistants. 
  • Coordinate faculty overload with college analyst. 
  • Other duties as assigned.

Minimum Qualifications

Education: B.A. Degree in Accounting, Management, or closely related fields.

Experience:

  • Three (3) years of experience in general office administrative and clerical work.
  • Applicants must have experience using standard office software programs such as Microsoft Outlook, Word, Excel, and Adobe Acrobat.

Other: 

  • Employee must have a sound foundation in English grammar, spelling, and punctuation, along with a working knowledge of office methods, procedures, and practices.
  • Employee must have the ability to accurately maintain records and files.
  • Employee must have strong organizational skills, be very detail-oriented, along with the ability to follow directions, take initiative, be flexible, multi-task and with minimal supervision make decisions on a day-to-day basis.
  • Employee must have demonstrated the ability to maintain a high degree of confidentiality.
  • Employee must have the ability to interpret and apply policies and procedures with minimal supervision and use judgment and discretion to act when precedents do not exist, along with the ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area.
  • Employee must have the ability to learn, interpret, and apply a variety of academic and organizational policies and procedures.
