Context
- UNMISS was established in 2011 under the auspices of the UN Department of Peacekeeping Operations (DPKO); subsequently, UNMISS mandate has been renewed through resolutions 2057 (2012), 2109 (2013), 2155 (2014), 2187 (2014), 2223 (2015), 2241 (Dec. 2015), 2304 (2016) and 2327 (2016), 2392 (Dec. 2017), 2406 (Mar. 2018).
- This position is located in the United Nations Mission in South Sudan (UNMISS) field office in Wau. Wau is classified in the “E” category and as a non-family duty station. The Administrative Officer will report to the Field Administrative Officer.
Task description
Under the direct supervision of the Field Administrative Officer (FAO) , the UN Volunteer will undertake the following tasks:
- Coordinate operational activities of the Field Administration Office to drive efficiencies and compliance to organizational policies
- Supervise administrative and support staff, interpreting policies and procedures to assigned staff
- Provide historical reference by defining procedures for retention, protection, retrieval, transfer and disposal of records. Supervise the maintenance of administrative records and databases
- Assist the FAO in managing budget and financial resources in a cost-effective manner and in strict accordance with UN finance rules and regulations
- Coordinate communication and information flow between the FAO and Field Office support sections, and provide information and guidance to service users
- Manage staff welfare activities including preparation of proposals, coordination of events and management of vendors
- Prepare annual, monthly and other periodic reports and coordinate statistical data
- Assist the FAO in administering first-line human resources management in the Field Office. Coordinate and facilitate staff recruitments, update organigrams and staff list. Provide administration of Individual Contractors, including payments
- Provide administrative support to section staff meetings, workshops and other events
- Provide information by answering questions and requests
- Identify and analyze problems regarding services and/or personnel and recommend solutions
- Ensure smooth operation of office equipment by proactively organizing preventive maintenance and repairs. Maintain inventory of office equipment and evaluate new equipment and techniques
- Ensure adequate stocking of office supplies.
