This is a unique and exciting opportunity to learn from and develop arts-based skills with one of Canada’s most high-profile and innovative musical ensembles in a highly rewarding educational setting.We seek a collaborative, detail-oriented Administrative/Production Assistant to support the preparations for, running of, and wrap-up of the Tafelmusik Baroque Summer Institute (TBSI), held annually in June at the University of Toronto Faculty of Music. TBSI is a world-renowned training program for advanced students and professional musicians which focuses on baroque instrumental and vocal performance practices, and whose faculty is drawn from the musicians of Tafelmusik and invited guests. Some 90-95 international participants attend this 14-day intensive training program, which includes masterclasses, rehearsals, chamber ensembles, lessons, lectures, workshops, dance classes, and performances by both participants and faculty.The successful candidate assists with advance administrative/logistical arrangements and document preparation for TBSI; supports the organization, inventory management, moving, and storage of TBSI equipment, supplies, and music; provides onsite administrative support throughout the Institute; interacts with the stage management team; collaborates on production/technical tasks; and completes other duties as required. This role is ideal for a hard-working team member who seeks entry-level learning opportunities and experience in arts administration and/or production-related work.This is a term position (May 6-June 28, 2024) at 35 hours/week, generously funded by the Canada Summer Jobs program from Employment and Social Development Canada. This position involves evening and weekend work in line with TBSI scheduling.ResponsibilitiesReporting to the Director of Artistic Administration & Operations, the Administrative/Production Assistant works closely with TBSI’s Artistic Coordinator, Administrative Coordinator, Production Manager, and external partners to support Institute needs with efficiency, timeliness, accuracy, and attention to detail. He/she/they assist with the preparation and assembly of registration/faculty materials, music packages, equipment, instrument bank holdings, and supplies; establishes relationships with area service providers and restaurants for participants; compiles cartage arrangements and instrument bank requests, inventory, appraisals, and labelling; and supports packing/unpacking and moves between Trinity-St. Paul’s Centre, the Faculty of Music, and Grace Church on-the-Hill in Toronto.The Administrative/Production Assistant takes regular daily shifts at the TBSI administration desk throughout the Institute, servicing participant and faculty needs in a welcoming, responsive, accurate, and timely manner; prepares or proofs document drafts for Coordinator review; completes daily updates to key administrative documents; issues email notices; and processes payment transactions as required. He/she/they learn basic production/technical skills alongside Tafelmusik’s stage management team; collaborate on post-Institute organization/inventory of TBSI holdings for the next season; assist the Production Manager with Production Office/Storage cleanup and reorganization; and complete other duties as required.
