The Administrative Supervisor is responsible for the day to day oversight and management of the Centralized Registration and Scheduling (CRS)/Centralized Clerical team and its operations.
In addition, the Administrative Supervisor oversees and executes key processes related to clinic room assignments across ambulatory care within the Women & Children’s Health portfolio. This includes processes related to dynamic scheduling, urgent space needs, and new clinic room requests. This involves oversight of day-to-day operations of clinic room utilization. The incumbent will act as a key resource for business clerks, providers and administrative support staff across ambulatory care at McMaster Children’s Hospital.This role is also responsible for providing confidential administrative support functions as required including booking of meetings, agenda preparation and minute taking, and room booking.Qualifications

  • Graduate of community college secretarial or office administration program or equivalent office experience
  • Minimum 5 years current related experience
  • Project coordination experience considered an asset
  • Demonstrated advanced computer skills and knowledge and experience of relevant software applications-MS Office suite, including but not limited to Word, Excel, PowerPoint, Meditech- CWS Module, Kronos, PeopleSoft, Taleo, TEM Module
  • Knowledge of operation of standard office equipment and AV technology in RJCHC, and well developed knowledge and skills in administrative procedures, office management and scheduling experience
  • Excellent organizational skills and attention to detail Knowledge of and experience with HHS’ electronic medical record, Epic
  • Understanding of HR and union environment, inclusive of applicable Collective Agreements
  • Strong interpersonal skills and ability to manage human side of work environment
  • Demonstrated leadership skills and abilities
  • Demonstrated ability to work and lead in a team environment, and ability to manage complex situations
  • Demonstrated excellence in effective communication (written and verbal), interpersonal, analytical and problem-solving skills
  • Excellent transcription and minute-taking abilities
  • Demonstrated ability to organize and establish priorities

  • Demonstrated ability to strategize and develop systems that create efficient work flow
  • Demonstrated ability to work effectively and collaboratively with various hospital departments and provincial and regional stakeholders
  • Demonstrated ability to work effectively in a team environment and in a self-directed environment
  • Demonstrated ability to appreciate confidential nature of position
  • Willingness to participate in a criminal reference screening process
