As a result of our fast-paced acquisition strategy, our Geosciences & Engineering team is expanding. The new Administrator will join the team to assist the Executive Assistant for the divisional leadership team, support the work of the divisional, and by extension the success of the divisional businesses. Geosciences and Engineering division now comprises of 32 businesses and is expected to continue to grow rapidly over the next few years.This is a permanent full-time role and will be based at our offices in Hemel Hempstead.Key ResponsibilitiesThis is an exciting opportunity where the candidate will be providing a range of administrative support to the Executive Assistant and the senior management of this rapidly growing division. Reporting into the G&E Executive Assistant, they will be working to continually support the leadership team and businesses within the division. This will include providing administrative support to the preparation and submission of commercial bids.The requirements may change depending on the needs of the management at the time, but will include:Administrative support:

  • Commercial risk review support
  • Diary management
  • Arranging workshops
  • Divisional meeting / Strategy day support
  • Leadership team expenses/timesheets
  • Raising purchase orders
  • Ordering of PPE
  • Invoicing
  • Booking lunches / dinners / hotels / hire cars
  • Document management / Letter formatting
  • Communication with the group businesses
  • Minute taking and chasing actions for the leadership team meetings when required
  • Provide ad hoc support to other central groups

Bid support:

  • Work with relevant members of the team to, collate and produce draft documents and bid responses in accordance with company standards
  • Manage bid timetable to ensure bid team members respond in line with bid plan with bid plan and that all deadlines are met and that bids are submitted on time and in the correct manner
  • Review bid document and pull together previous relevant bids best practice answers from bid portal and systems
  • Proofing and editing colleague’s bid response documents, ensuring each document contains required information required to create a successful, winning bid
  • Work with other Bid Specialists as a community of practice to ensure a consistent quality of bids

  • Strong proficiency with Microsoft Office
  • Knowledge & experience of bids preferred
