Job Description Summary

The Associate Director of Research and Faculty Affairs will be responsible for planning, organizing, and implementing all processes related to standing faculty searches, promotions and tenure decisions, appointments and reappointments, sabbaticals, and retirements, as well as lead the development, implementation, and delivery of services and initiatives to faculty. The Associate Director will take lead on organizing and maintaining faculty information using Interfolio and Workday and will facilitate faculty surveys and data collection for the Research and Faculty Affairs team. The Associate Director will be responsible for reviewing online Ed.D. dissertation submissions through Proquest and will work with the Office of the Provost to manage Ph.D. dissertations.
Under the supervision of the Director of Research and Faculty Affairs, the Associate Director is integral to managing and facilitating effective operations for the entire faculty personnel process at Penn GSE. This role requires a mix of working independently and working collaboratively with staff and faculty throughout the School and University.
Job Description
Plan, organize, and implement all processes related to standing faculty searches, promotions and tenure decisions, appointments and reappointments, sabbaticals, and retirements:
- Interpret, plan, and implement all policies and processes related to standing faculty searches, promotions and tenure decisions, appointments and reappointments, sabbaticals, and retirements
- Plan and facilitate appointments, promotions, reappointments of associated and professional faculty
- Coordinate logistical arrangements for associated faculty personnel issues requiring attention at the Associate Provost office
- Manage room reservations, catering, and related logistics for events related to faculty actions
- Collect, organize, and maintain faculty information across several systems, including Dropbox and Interfolio
- Collaborate with the Director of Research and Faculty affairs and Associate Dean of Research and Faculty Affairs in planning and implementing services to faculty
Lead the development, implementation, and delivery of services and initiatives for faculty:
- Explore and recommend new initiatives to support faculty at Penn GSE and generate strategies for measuring the impact of these initiatives. These initiatives can take the form of constructing and disseminating surveys to faculty, staff, and students, and ascertaining trends for programming. This would be for immediate and future planning and will involve some intellectual problem-solving beyond standard tasks.
- Collaborate with the Director and Associate Dean of Research and Faculty in planning special projects.
- Collaborate with School and University partners on data projects related to faculty work, which may include survey design, data collection, and data analysis
Organizing and maintaining faculty information:
- Use online faculty affairs software such Interfolio and Workday to post and maintain information on faculty positions
- Provide support for the Director of Research and Faculty Affairs to create reports on faculty work
- Update faculty email distribution lists, including standing faculty, professional faculty, and post-docs
- Lead the administration of surveys to gather information about faculty activities such as awards and editorships, post-doc employment, and significant accomplishments
- Drive the construction, organization, and maintenance of Research and Faculty Affairs website
- Process P-card payments
Review online EdD dissertation submissions via Proquest; work with Office of the Provost to manage PhD dissertations:
- Partner with the Student Records Office and the Office of the Provost to manage doctoral dissertations
- Ensure student dissertations are in compliance with University and APA requirements
- Review PhD dissertations via email; ensure they’re in compliance, provide editorial feedback; complete forms in BPLogix for PhD students; work with the Office of the Provost to make sure students are on track with submission deadlines; attend monthly meetings for PhD candidate information
Perform additional duties as assigned.
Qualifications
ESSENTIAL:
- A Bachelor’s degree and 2-3 years of experience, or equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite
- Proficiency in Google suite
- Ability to handle multiple tasks, projects, and priorities and remain organized
- Ability to plan, organize, and execute multiple events
- Strong interpersonal skills
- Excellent written and verbal communication skills
PREFERRED:
- A Master’s degree, and prior success supporting academic departments or working in higher education
- Experience with Interfolio
- Experience with Workday
- Experience with constructing and querying databases
- Advanced proficiency in Microsoft Excel
- Proficiency in using Qualtrics
